About The Position

We are seeking an organized and customer-focused Sales Coordinator to join our Materials Division in Sunol. You will support daily operations by coordinating customer orders, scheduling deliveries and serving as a key point of communication between internal and external operations. This role is ideal for a proactive professional who thrives in a fast-paced environment while ensuring accuracy in every detail.

Requirements

  • Ability to effectively multitask and prioritize workload independently in a fast-paced environment.

  • Proactive and resourceful, taking initiative to resolve issues and drive tasks forward.
  • Analytical and detail-oriented, ensuring accuracy and compliance in all documentation.
  • Team-oriented with a positive attitude and willingness to assist other departments as needed.
  • Proficient in Microsoft Office, including Word and Excel. Able to learn new program quickly.

Nice To Haves

  • Previous experience in customer service, sales administration, dispatch, construction materials, manufacturing, trucking, or a related industry.
  • Strong written and verbal communication skills, able to communicate with internal and external personnel of all levels.
  • Experience using dispatch, ticketing, loadout, or other proprietary software systems is preferred, but not required.

Responsibilities

  • Process high-volume customer sales orders, accurately enter information into company software systems, verify order details, and ensure timely order fulfillment.
  • Handle a high volume of inbound and outbound phone calls, answer customer questions, resolve order or delivery concerns, and provide exceptional customer support.
  • Process new and existing customer credit applications, maintain customer account documentation, and ensure all required information is complete and properly filed.
  • Process material loadout tickets through electronic dispatch systems and provide backup assistance to the Scale House during busy periods or as needed.
  • Maintain accurate electronic sales, inventory, customer, and operational records while preparing reports and verifying data accuracy.
  • Perform general administrative duties, including filing, scanning, document management, correspondence, and other office tasks while managing multiple priorities.
  • Work closely with customers, sales representatives, dispatch, production, trucking companies, and accounting to ensure smooth daily operations.
