About The Position

Spire Building Solutions is a commercial construction company specializing in concrete restoration, waterproofing, and exterior building envelope repairs and painting across multifamily and hospitality properties. Our home office is in South Florida with field teams across the US. Our work includes restoring aging structures, repairing damage, and protecting buildings from water intrusion and structural deterioration. We focus on delivering high-quality work through strong field leadership, disciplined execution, and a proactive approach to quality control. Our projects require hands-on coordination, real-time decision-making, and a team-first mindset. We are hiring an experienced Sales Coordinator who understands how to organize, coordinate, and support the full lifecycle of project pursuits, proposal development activities, and client-facing deliverables from initial opportunity intake through final submission and tracking. This is an on-site office position.

Requirements

  • Proposal coordination and deadline-driven deliverables
  • 3+ years in a supporting and coordinating role
  • Construction documentation and administrative workflows
  • Formatting and assembling professional client-facing documents
  • Coordinating multiple active pursuits simultaneously
  • Strong organizational skills and attention to detail
  • Procore, Adobe Acrobat, Microsoft Office Suite

Nice To Haves

  • Experience in construction services is A+

Responsibilities

  • Receive, organize, and track incoming RFPs, RFQs, ITBs, and qualification requests
  • Coordinate Go / No-Go meetings and pursuit kickoff meetings
  • Maintain bid calendars, pursuit schedules, and submission deadlines
  • Coordinate internal communication between estimating, operations, leadership, and sales teams
  • Track proposal progress, workflow stages, and accountability items
  • Maintain accurate opportunity tracking and reporting within company systems
  • Compile proposal information from estimating, leadership, operations, and sales teams
  • Organize pricing summaries, scope narratives, exclusions, alternates, and exhibits
  • Format and assemble proposal content into approved company templates
  • Manage proposal layouts, pagination, formatting consistency, and document organization
  • Incorporate company branding, project photography, resumes, qualifications, and supporting materials
  • Produce polished client-facing proposal packages aligned with company standards
  • Establish and maintain organized proposal file structures in Procore and cloud-based systems
  • Coordinate uploads of drawings, specifications, addenda, exhibits, and submission documents
  • Maintain proposal version control and revision tracking
  • Apply document naming conventions and workflow standards
  • Support centralized document control procedures and proposal archives
  • Maintain CRM opportunity progression and workflow compliance tracking
