Requirements

• Successfully completed commercial training (e.g., Office Management, Industrial Management, or a comparable qualification).
• Previous experience in sales support, office management, customer service, or a similar administrative role.
• Experience in preparing quotations, invoicing, and managing contracts and business documentation.
• Excellent organizational skills with the ability to prioritize tasks independently and maintain an overview in a dynamic, international work environment.
• A structured, independent, and detail-oriented working style with a strong commitment to quality.
• Proficiency in Microsoft Office applications (especially Outlook, Word, and Excel); experience with CRM systems is an advantage.
• Excellent written and spoken German and English skills.
• Strong communication and interpersonal skills, a professional attitude, and a customer-focused mindset.
• A high level of initiative, reliability, accountability, and the ability to work effectively as part of an international team.

Responsibilities

• Support our Sales team in acquiring new customers and assist with the preparation of quotations, customer presentations, and project documentation.
• Provide support to our customers and business partners in the United States while serving as the central point of coordination between our offices in Germany and the USA.
• Maintain and manage customer data, quotations, and project information within our CRM and internal systems.
• Assist in planning, organizing, and tracking sales activities, including maintaining sales-related records and reports.
• Coordinate appointments, meetings, and administrative processes to ensure the smooth day-to-day operation of the office.
• Handle general office administration as well as written and telephone correspondence in both German and English.
• Prepare, review, and manage contracts, customer invoices, travel expense reports, and other business documents.
• Provide administrative support for international projects and help ensure efficient internal processes.
• Maintain project documentation and organize digital filing systems in a structured and efficient manner.
• Contribute to the continuous improvement of internal processes and overall office organization.
