About The Position

This role is responsible for a variety of tasks supporting both the sales and marketing departments. Key responsibilities include sales contract administration, processing deposits, assisting agents with changes, managing office supplies, and coordinating marketing activities such as website maintenance, MLS listings, community presentations, and event planning. The position also involves ensuring brand consistency, assisting with lead generation campaigns, managing signage, and coordinating the creation of promotional materials. Additionally, the role supports the definition of sales centers and model homes, including ordering displays and furniture, and coordinating photography and videography. Administrative support for the sales team is also a component of this role.

Requirements

  • Experience in sales contract administration.
  • Proficiency in processing deposits and handling changes to contracts.
  • Ability to manage office supply orders.
  • Experience with website maintenance and multi-list services (MLS).
  • Skills in event coordination and marketing collateral creation.
  • Understanding of brand image consistency.
  • Experience in lead generation campaign support.
  • Ability to manage signage.
  • Experience in coordinating promotional materials and events.
  • Familiarity with creating promotional flyers, emails, and advertisements.

Responsibilities

  • Administer sales contracts, including review and balancing between contract and SMART system, exhibits, and selections.
  • Receive and process all Good Faith Deposits for Sales Contracts.
  • Assist agents with processing Cancellations and Change Orders.
  • Manage office supply order process to ensure Sales staff has necessary tools and supplies.
  • Manage designated marketing activities including website maintenance, MLS, community and model home presentations, special events, graphics, and marketing collateral.
  • Ensure consistent brand image for prospective home buyers across all communities.
  • Assist Marketing Manager in creation of lead generation campaigns.
  • Maintain community signage, including onsite, offsite, WEDs, and permanent directionals.
  • Coordinate community or regional special events, promotion efforts, and materials with the Marketing Manager to drive traffic and build brand.
  • Work with community teams to produce local events, promotion-specific flyers/emails/advertisements, sales office displays, and social media posts.
  • Assist Marketing Manager and Sales leader in defining Sales Centers and Model Homes, including ordering displays and furniture, and reviewing selections based on demographics and buyer profile.
  • Coordinate the photography and videography of model homes, communities, amenities, and plans.
  • Assist with Sales Administrative tasks as needed.
  • Be available on weekends and after hours as needed.
