About The Position

The Sales Administration Specialist supports assigned Sales Representatives by managing opportunities from lead intake through contract execution. This role ensures all quotes, contracts, and documentation are accurate, complete, and aligned with company standards while driving deals forward efficiently. This position partners closely with Sales Representatives, focusing on their accounts and customers to improve responsiveness, organization, and overall deal execution. Success requires strong attention to detail, the ability to manage multiple priorities, and a proactive approach to maintaining pipeline discipline and deal progression.

Requirements

  • Bachelor’s degree or equivalent experience
  • 2–5 years in sales administration, operations support, or construction-related roles
  • Construction experience required; modular preferred
  • Salesforce (or similar CRM) experience required
  • Strong understanding of business documentation and contract structure
  • Excellent organization, time management, and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication and coordination skills
  • Self-starter with accountability and follow-through

Responsibilities

  • Support assigned Sales Representatives and support their active opportunities and customer accounts
  • Track and support opportunities from quote through contract execution to maintain deal progression
  • Generate accurate and timely quotes for lease and sale opportunities
  • Apply established pricing and deal structures in coordination with sales
  • Prepare lease agreements, sales contracts, and supporting documentation
  • Review for accuracy and alignment with agreed terms between quotes, contracts, and purchase orders
  • Support contract revisions and track execution status
  • Issue and track purchase orders for factory, freight, setup, service, and vendors
  • Maintain organized and complete deal documentation and version control
  • Maintain accurate and complete opportunity records in Salesforce
  • Ensure all opportunities have clear next actions and are actively progressing
  • Maintain pipeline hygiene and eliminate stale or inactive opportunities
  • Align with Sales, Project Management, Accounting, and Operations to support deal execution
  • Respond to internal and external requests in a timely and professional manner
  • Identify issues, missing information, or non-standard conditions and escalate to senior team members for resolution
  • Partner with Senior Sales Administration team members on complex, high-priority, or non-standard deals
  • Meet daily, monthly, and quarterly KPI expectations
  • Maintain compliance with company policies and procedures
  • Support reporting and process consistency
  • Deals progress consistently without delays
  • Quotes and contracts are accurate with minimal rework
  • Additional duties as required
