About The Position

As the Sales Administrator, you will play a critical supporting role within the sales team, ensuring smooth day-to-day operations across lead management, customer documentation, order processing, and sales support. Requirements

  • 2–5 years of experience in a sales support, sales operations, or administrative role, preferably in a B2B environment
  • Hands-on experience with CRM platforms (e.g., Salesforce, HubSpot) and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong written and verbal communication skills with a professional and customer-focused demeanor
  • Exceptional attention to detail and accuracy, particularly when handling order entry, documentation, and data management
  • Ability to work in a fast-paced entrepreneurial environment
  • Self-starter and manage time wisely
  • Strong organizational and planning skills with a systematic approach to managing workload and deadlines
  • Excellent English communication skills (verbal & written)

Nice To Haves

  • Associate’s or Bachelor’s degree in Business Administration, Marketing, Communications, or a related field preferred
  • Experience processing purchase orders and working within ERP or order management systems is a plus

Responsibilities

  • Own lead assignment workflows within the CRM, ensuring timely and accurate distribution of leads to the appropriate sales representatives.
  • Maintain CRM data hygiene by routinely auditing records for duplicates, incomplete information, and outdated statuses; enforce data entry standards across the team.
  • Prepare and manage customer-facing documents including letters of authority, credit applications, onboarding forms, and other standard agreements as requested by the sales team.
  • Track document status and follow up with customers or internal stakeholders to ensure timely completion and filing of all required paperwork.
  • Generate regular sales pipeline and activity reports from the CRM, providing the sales team with actionable visibility into lead progress, conversion rates, and open opportunities.
  • Support the sales director with ad hoc reporting, meeting preparation, and administrative tasks to keep the team operating efficiently.
  • Assist in building and formatting corporate presentations, pitch decks, and proposals for client meetings, trade shows, and internal business reviews.
  • Coordinate with marketing to ensure all materials are on-brand, up to date, and tailored to the intended audience.
  • Process customer purchase orders accurately and in a timely manner, coordinating with operations, logistics, and finance teams to ensure smooth order fulfillment.
  • Monitor order status and proactively communicate updates or delays to customers and internal stakeholders; resolve discrepancies as they arise.
  • Serve as a liaison between the sales team and internal departments (operations, finance, customer service) to facilitate smooth communication and resolution of customer issues.
  • Assist with onboarding new customers by coordinating account setup, documentation, and initial communications in collaboration with the sales representative.
