Safety Compliance Coordinator
About The Position
The Safety Compliance Coordinator is a foundational, behind-the-scenes role within the Safety Department, responsible for DOT Pool Compliance and MVR monitoring, pre-placement and post-offer compliance, claims support, and safety consumables management. This is not a data-entry position — the successful candidate will function as the department's subject matter expert on compliance processes, capable of training others, liaising directly with DMV and background check agencies, and exercising independent judgment on day-to-day compliance matters. The role carries genuine growth potential within the Safety function for a capable, self-driven professional. This position is open across our Deerwood, Golden, and Montecillo, MN locations, and some travel between sites should be expected.
Requirements
- Business Administration, Business Systems, and Document Control experience required.
- Microsoft Office (Word, Excel, Outlook).
- Proficiency with a PDF editor application to create and revise forms.
- Ability to use and/or administer cloud-based applications.
- EHS software — power user level.
Nice To Haves
- Associate or bachelor's degree in environmental health & safety, Construction Management, Business Administration, Human Resources, or a related field preferred; High School diploma accepted with equivalent experience.
- Familiarity with Environmental Health & Safety standards and construction environments helpful.
- 2–3 years of experience in safety support or similar administrative/compliance work preferred; entry-level candidates will be considered provided they clearly understand the compliance-driven, subject-matter-expert nature of this role — this is not an entry-level data-entry position.
- Claims experience strongly preferred (e.g., workers' compensation, auto/fleet, or general liability claims coordination).
- Strong multi-tasker with an analytical, detail-focused approach to problem solving.
- Comfortable serving as a subject matter expert and delivering training to others — not limited to data entry or transactional tasks.
- Capable and self-driven; able to work independently on compliance matters with minimal oversight.
- Strong written and verbal communication skills, including comfort liaising with external agencies (DMV, background check vendors).
- Cooperative attitude, even temperament, and political sensitivity when working across departments.
Responsibilities
- Oversee DOT Pool Compliance and MVR (Motor Vehicle Record) monitoring.
- Regularly review CDL and driver management programs and records.
- Serve as the point of contact for claims-related coordination, liaising directly with insurance carriers, DMV offices, and background check agencies.
- Manage pre-placement and post-offer compliance requirements.
- Engage with professional trade groups (e.g., AGC Safety Committee) and peer safety groups to exchange knowledge and stay current on regulatory trends.
- Act as the department's go-to subject matter expert on compliance processes and documentation — not a purely transactional/data-entry function.
- Coordinate and, where appropriate, deliver in-house safety training.
- Coordinate third-party training and training materials for existing and new equipment.
- Ensure all safety-related onboarding activities are completed in a timely manner.
- Upload training certificates of completion to employee profiles in the HRIS.
- Oversee pre-employment risk management programs, including WorkSteps and Drug-Free Workplace program administration.
- Assist with maintaining drug testing policies and compliance (new hire and DOT).
- Manage safety consumables inventory and reordering.
- Track and report all measurable safety-related activity.
- Maintain, update, and revise safety forms and documentation using documents control best practices.
- Assist with maintaining fleet policies and compliance.
- Coordinate meetings and events, including reservations and planning.
- Coordinate, place, pick up, and distribute food orders for in-house meetings or bid events.
- Perform general safety department administrative duties: typing, filing, updating forms, and related tasks.
- Lead or promote safety initiatives alongside the Safety Director.
- Promote and support diversity and inclusion in the workplace.
- Apply professional ethics consistently in the workplace.
- Attend workshops and seminars to stay current with trends, demands, and emerging practices in safety compliance.
