About The Position

The safety clerk plays a crucial role in ensuring accurate records and daily safety operations across the department. You will be responsible for a wide range of safety functions including the tracking and electronic filing of sensitive onboarding information items such as TB results, background checks, driver’s licenses, insurance, and Workers’ Compensation. Will be tasked with reviewing security vendor invoices, Safety Committee attendance and note taking, reviewing the Safety inbox, and instructing the Safety New Employee Orientation (NEO) presentation. This position requires a highly organized, people-oriented professional who thrives in a fast-paced environment with excellent customer service skills.

Requirements

  • High School Diploma or GED or Equivalent
  • Knowledge of or ability to learn Dynafile, Relias, Dayforce, DMV Pull-notice, and Wellness Mart.
  • Excellent attention to detail.
  • Able to maintain confidentiality and exercise good judgment in sensitive situations.
  • Able to manage multiple projects and meet deadlines.
  • Strong organizational skills.
  • Strong written and verbal communication skills.
  • Exceptional customer service.
  • Must be able to work in-office 5 days a week at Arlington HQ.
  • Willingness to train and continuously improve.
  • Willing to collaborate and take direction for the purpose of meeting agency goals.

Responsibilities

  • Maintain accurate, well-organized employee records across internal, external, and shared systems.
  • Ensure all fleet-authorized users have proper licensure and up-to-date insurance.
  • Review employee DMV pull notices and alert Safety team of non-compliance.
  • Process vendor invoices with Accounts Payable.
  • Pull employee records for internal and external stakeholders/collaborators.
  • Send monthly reminders to Safety Representatives track Safety Committee attendance, and support the Safety and Onboarding Generalist with the Safety Representative Orientation (SRO).
  • Knowledge and ongoing learning of best practices of safety protocols and procedures, workplace violence, and incident reporting.
  • Attend monthly Safety Committee meetings and uphold the regular Safety Representative responsibilities as outlined in our Safety Representative Policy for Arlington HQ.
  • Support staff through their safety concerns, ergonomic assessments, and workers’ compensation.
  • Perform related duties as assigned.
  • Present during New Employee Orientation (NEO) and any other safety training capacity.
  • Improve professional knowledge and skills through Relias training and participation in projects supported by the Safety and Risk Manager.
