Seasonal Rights & Clearances Coordinator
About The Position
The Rights & Clearances Coordinator researches, sources, and secures third-party materials for NFL Films programming. The role works with producers, post-production, media management, business affairs, and project managers to meet content needs while ensuring materials are properly licensed within deadlines, budgets, and legal requirements. The coordinator researches and acquires materials, screens programs and documents third-party usage, obtains licenses and permissions, advises production teams on rights and usage restrictions, and maintains accurate clearance records. The role also coordinates materials through internal workflows, follows departmental procedures, and learns and uses internal rights-tracking and screening systems. The position is seasonal and requires onsite presence at an NFL office or stadium location; remote and hybrid options are not offered. Occasional weekend work may be required on call. No regular travel is expected, and relocation assistance is not provided.
Requirements
- Bachelor’s degree or equivalent experience.
- At least 2 years of dedicated Rights & Clearances or Archival Producing experience.
- Foundational understanding of third-party rights, licensing, and clearances.
- Excellent written and verbal communication skills.
- Exceptional organizational and time-management skills.
- Strong problem-solving ability; resourceful and proactive.
- Ability to manage sensitive or confidential information.
- Flexibility to be on call for occasional weekend work.
- Comfort working in deadline-driven environments with shifting priorities.
- Occasional handling of physical archival materials such as footage reels, tapes, newspapers, and photo collections.
Nice To Haves
- Experience in post-production or a similar archival, rights, or clearances environment.
- Experience with AirTable or similar systems.
- Experience navigating and interpreting EDLs.
- Proven negotiation experience with major archives, stock footage or photo libraries, and independent rights holders.
Responsibilities
- Research, request, and acquire third-party materials, including photos, footage, newspaper articles, social media posts, podcasts, and other intellectual property.
- Research archival collections, stock footage libraries, and professional photo agencies to locate materials.
- Screen cuts and programs and create detailed clearance logs documenting third-party material usage.
- Secure licenses, permissions, and releases for third-party content used in NFL Films programming.
- Advise production teams on rights, usage restrictions, and clearance options throughout production.
- Track, organize, and maintain clearance documentation, including agreements, invoices, purchase orders, and correspondence.
- Communicate with internal departments to move acquired materials through workflows and deliver them to producers.
- Maintain administrative procedures and uphold departmental standards.
- Learn and use internal rights and clearance tracking systems and screening tools.
- Assist with training and mentoring interns as needed.
