The Revenue Cycle Assistant primarily supports the Revenue Cycle Manager in key billing, reconciliation, and grant reporting processes. This role plays an essential part in the monthly close process and collaborates with clinical, training, and grant teams to ensure accurate and efficient billing operations. The Specialist also provides direct support to front desk staff across 15 health centers by assisting with workflow improvements, policy updates, and system issue resolution to ensure smooth day-to-day operations. The ideal candidate brings strong attention to detail, excellent critical thinking skills, and a collaborative mindset to improve financial performance and support organizational goals.

Requirements

  • High School or associate degree or equivalent work experience preferred.
  • Proficiency in Microsoft Office (word, excel, powerpoint) required.
  • Strong analytical and problem-solving skills
  • Excellent written and oral communication skills
  • Proficient in Microsoft Excel and general computer systems
  • Demonstrated customer service skills with the ability to support both internal and external clients; ability to provide quality services to meet the individual needs of patients.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Superb attention to detail and discretion with confidential information
  • Ability to work both independently and as part of a collaborative team to meet the needs of health center customers.
  • Strong supporters of PPSNE mission and all the reproductive health services offered.
  • 2–5 years of experience in: Revenue cycle operations (billing, coding, collections, denials) Healthcare finance or hospital/clinic operations Data analysis and reporting Collaboration skills (working with finance, clinical and Clinical Health Network)
  • Understanding of: Medical billing and coding Insurance reimbursement (Medicare, Medicaid, commercial) Claims processing and denial management.
  • Attention to detail and compliance knowledge (e.g., HIPAA)

Nice To Haves

  • Experience in a PPSNE health center preferred.
  • Experience working with electronic health records, specifically Epic, preferred.
  • Bilingual fluency (Spanish/English) preferred but not required.
  • Experience working with electronic medical records, preferably Epic.

Responsibilities

  • Support the month-end patient billing reconciliation process: Reconcile missing visits from the Revenue Guardian report and missing services from billing encounters.
  • Serve as first point of contact with grant facilitators.
  • Generate and reconcile monthly invoices for Grant programs (Breast and Cervical Cancer Screening Program & Women’s Cancer Screening Program); manage accounts receivable.
  • Review and validate reference lab (Quest) invoices for correct billing.
  • Manage CT Medicaid Family Planning Limited Benefit program enrollment and status.
  • Maintain and update Good Faith Estimate (GFE) templates and documentation.
  • Conduct sample chart reviews for grant compliance and reporting.
  • Assist with insurance billing and issue resolution in collaboration with the Revenue Cycle Manager
  • Navigate and document accurately in the Epic Electronic Health Record (EHR)
  • Work assigned billing and insurance work queues in Epic.
  • Serve as a Subject Matter Expert (SME) for insurance registration and eligibility; troubleshoot RTE and eligibility issues.
  • Review patient refund reports for accuracy.
  • Support front desk staff with billing workflows, policies, tipsheets, and troubleshooting; collaborate with training team on workflow updates and improvements.
  • Maintains thorough knowledge and understanding of PPSNE organization to answer questions and direct calls correctly and appropriately.
  • Other duties as assigned.
  • Completes all responsibilities according to established protocols, policies, and standard practices in the areas of customer service, quality assurance and regulatory compliance programs such as HIPAA (Health Information Portability & Accountability Act), OSHA (Occupational Safety & Health Act), and CLIA (Clinical Laboratory Improvement Administration)
  • Demonstrates flexibility and teamwork; understands the interaction between this position and others with whom the position works directly and indirectly.
  • Ensures that interactions incorporate PPSNE values of integrity, partnership, customer focus, communication, and quality.
  • Supports the agency’s mission and all the reproductive health services offered including family planning services, women’s health screenings, testing and treatment of STI’s, birth control methods and abortion services.
  • Supports efforts of the agency’s diversity program to provide services that are culturally and linguistically competent; takes the initiative to develop own awareness and knowledge of diversity matters.
  • Works well with volunteers and interns to achieve the agency’s mission.
  • May supervise interns and volunteers.
