About The Position

The Retirement Plan Services Coordinator plays a key supporting role within the firm's Faith-Driven Retirement Plan Services team, helping nonprofit ministries and mission-aligned organizations steward their retirement plans with integrity and excellence. Working within the TPA & Recordkeeping function, this entry-level role focuses first on TPA plan documentation, handling the administrative preparation and coordination of plan documents so that senior staff are freed to hold deeper conversations with plan sponsors. As the position develops, the Coordinator is expected to cross-train into recordkeeping operations. The Coordinator prepares and routes plan documentation, triages incoming plan email to the right owner, and keeps plan data accurate and audit-ready, all in support of the firm's mission of championing Biblical financial stewardship.

Requirements

  • High school diploma or equivalent.
  • Excellent written and verbal communication skills.
  • Proficiency with the Microsoft Office suite.
  • Demonstrated attention to detail with a consistent standard of accuracy in documentation and data.

Nice To Haves

  • Associate's degree, or one (1) to three (3) years of experience in retirement services, third-party administration (TPA), or recordkeeping operations.
  • Working knowledge of 401(k) and 403(b) plans, including Non-ERISA 403(b)(9) church plans.
  • Familiarity with Salesforce, QuickBooks, or the Actuarial Systems Corporation (ASC) document system.
  • Relevant certifications, or progress toward them, such as Qualified 401(k) Administrator (QKA), Qualified Plan Administrator (QPA), or Certified Pension Consultant (CPC).

Responsibilities

  • Create and assemble plan case documents, Investment Policy Statements (IPS), and plan agreements from the approved fund menu, pulling specifications from Salesforce and routing documents for signature through DocuSign.
  • Prepare and coordinate plan amendments and work with the outside document team to set up plan documents in the Actuarial Systems Corporation (ASC) Document Generation and Management (DGEM) system.
  • Monitor incoming plan email and route each item to the right owner, whether Compliance, the Senior Manager of TPA & Recordkeeping, or the Plan Document Manager, escalating higher-complexity questions and plan-review requests so senior staff can hold deeper conversations with plan sponsors.
  • Maintain a structured, compliant filing process for all plan documents and agreements, using Salesforce to track status and the firm's secure internal storage for retention, keeping records accurate, current, and audit-ready.
  • Coordinate with the Plan Sales and Onboarding teams to gather plan specifications and with the Client Services, Recordkeeping, and Compliance teams to keep new plan setup and amendments moving, communicating with plan sponsors on document status while signatures and approvals are pending.
  • Maintain accurate, consistent retirement plan data across internal systems, reports, and external platforms, reconciling discrepancies and supporting the reporting needs of the TPA & Recordkeeping function.
  • As the position develops, cross-train into recordkeeping operations, which may include plan sponsor portal configuration and access profiles, available features and reporting, and support for participant communication campaigns.
  • Build working knowledge of 401(k), 403(b)(7), and 403(b)(9) plan structures and the firm's faith-driven retirement plan offerings, pursuing applicable credentials such as the Qualified 401(k) Administrator (QKA) with firm support.
