Position Summary The Retention Specialist is responsible for supporting program participants after job placement to ensure employment retention and successful milestone achievement in compliance with funder requirements. This role focuses on tracking employment outcomes, collecting required documentation, and maintaining consistent follow-up with employed participants.

Requirements

  • High School Diploma required.
  • 1+ years’ experience working in case management, workforce development and retention services.
  • Ability to prioritize tasks and document visits and contacts.
  • Demonstrated telephone, computer and written communication skills.
  • Knowledge of Microsoft Office programs.

Nice To Haves

  • Experience working with underserved or public assistance populations preferred.
  • Bilingual in Spanish, Russian, Mandarin, or Creole languages a plus.

Responsibilities

  • Manage a diverse caseload of clients, providing consistent and individualized support.
  • Maintain ongoing communication with clients who have secured employment.
  • Conduct regular follow-ups (via phone, text, email, and/or virtual meetings) to confirm continued employment status.
  • Build rapport with clients to encourage responsiveness and long-term engagement.
  • Re-engage clients who have become unresponsive or are at risk of losing employment.
  • Track and document employment milestones in accordance with funder contract requirements (e.g., 30-day, 90-day, 180-day, 365-day retention benchmarks).
  • Collect, review, and verify supporting documentation such as paystubs, employment verification letters, or employer confirmations.
  • Ensure all retention documentation meets compliance standards, is uploaded in Zoho and is submitted within required timelines.
  • Provide incentives such as OMNY cards and gift cards for clients who are employed during their retention milestone dates.
  • Accurately document all participant interactions, job outcomes, and retention milestones in Zoho and Seams.
  • Collaborate with Account Managers, Career Coaches, and other staff to support client success.
  • Review upcoming milestone deadlines and submit milestone in PACS system.
  • Follow program guidelines and compliance standards related to workforce funding.
