About The Position

Join our team at the Center for Microbial Medicine and the CHOP Microbiome Center! The centers are seeking an experienced Resource Coordinator to provide complex administrative and programmatic support. The Center for Microbial Medicine was founded in 2024 and is a Center of Emphasis at CHOP. The center is dedicated to finding cures and improving pediatric health through the lens of the microbiome. This transformative vision enables researchers and clinicians to leverage the microbiome to improve children’s health by moving discoveries quickly from bench to bedside. The CHOP Microbiome Center was established in 2015 as part of the PennCHOP Microbiome Program and includes a sequencing core and bioinformatics core. The program’s mission is to develop microbiome-based strategies that generate biomarkers or therapeutics to improve health and treat disease. This role coordinates complex clinical and/or research program activities and provides high-level administrative and program support.

Requirements

  • High School Diploma / GED - Required
  • At least five (5) years of research, coordination or administrative experience - Required
  • Intermediate knowledge of medical terminology and protocols (Required proficiency)
  • Intermediate knowledge of HIPAA regulations (Required proficiency)
  • Intermediate proficiency with electronic medical record software (EPIC) (Required proficiency)
  • Advanced proficiency with word processing software (Word) (Required proficiency)

  • Intermediate proficiency with spreadsheet software (Excel) (Required proficiency)

Responsibilities

  • Coordinate and track complex and matrixed clinical, program or research activities.
  • Serve as the main point of contact and as a liaison for research activities and projects.
  • Organize, monitor and assist with the review, editing and submission of documentation including grants, manuscripts, galleys, proofs, articles, publications and presentations.
  • Manage the maintenance and improvement of research or clinical protocols and processes.
  • Organize and assist with financial functions including budgets, reimbursements, invoices, expenses, purchase orders, renewals, funding, variances and financial reports.
  • Maintain systems, databases, procedures, and websites for records and reporting.
  • Maintain program metrics and related tools and regularly reports results.
  • Coordinate information collection, compilation and dissemination as required.
  • Assist in the preparation and coordination for meetings, interviews, committees, conferences and calendars including schedules, travel, agendas and minutes.
  • Prepare presentations, letters, reports, memoranda, and related materials.
  • Assist in message creation and development including website content, fact sheets, correspondences, emails, lectures, social media posts and other formats.
  • Track and manage materials and inventory, and coordinate supply purchasing.
  • Other duties and administrative support projects as needed.
