About The Position

MMI Group is a full-service commercial real estate firm in Winnipeg, Manitoba, that provides solutions in brokerage, property management, and advisory services. We are looking for a Resident Manager to join our Residential team. The Resident Manager has the passion and drive to work closely with, and provide support to, the Property Manager in creating and maintaining a clean and safe environment for the tenants of the building. The Resident Manager is responsible for the cleaning and maintenance of all common areas of the building, minor maintenance, select landscaping, snow removal, maintaining good tenant relations, and supporting property management with administrative matters such as collecting arrears and submitting Residential Tenancies Branch (RTB) claims. Keeping the building and common areas clean constitutes approximately 50% of the position. The Resident Manager is required to be on call 24 hours per day for emergencies.

Requirements

  • Two (2+) years of proven experience as a live-in Resident Manager or in a relevant position
  • Proficient in basic computer literacy.
  • Ability to work effectively in a rapidly growing/changing environment with a high degree of resourcefulness and adaptability.

Responsibilities

  • Remains calm, level, and professional at all times.
  • Maintains good public relations and a positive attitude with tenants by being polite, courteous and helpful while acting in accordance with existing policies and regulations.
  • Remains on call 24 hours per day to respond to tenant emergencies and urgent building issues.
  • Reports all tenant complaints, problems, etc. to the Property Manager immediately.
  • Ensures units are ready for new tenants and cleaned as soon as possible after move-out; coordinates all necessary arrangements to ensure a smooth turnover, including conducting pre-move-out inspections and scheduling contractors for required repairs.
  • Encourages tenants to put their concerns and complaints in writing to the Property Manager to ensure that the complaint is dealt with in a timely manner.
  • Communicates the necessity to enter any unit in the case of an emergency, in the form of a written notice stating the reason for entry.
  • Participates actively in committees and team meetings as assigned.
  • Prepares and submits reports on general conditions and incidents.
  • Ensures tenant relation reports are filed with the Property Manager in a timely and accurate fashion.
  • Reports all significant events within 24 hours of the incident. Significant events include tenant deficiency complaints, all tenant conflicts concerning noise or disturbances, and anytime the police are called.
  • Maintains miscellaneous documents and forms on-site, including leasing and renewal forms, repair logs, weekly meter reading logs, and parking and locker control tracking sheets.
  • Obtains and reports all information pertaining to tenant renewals (whether the tenant renews or not).
  • Delivers renewals and follows up with all tenants on a weekly basis until all renewal forms are returned.
  • Completes move-in and move-out condition reports and ensures outgoing tenants are charged for all damages; ensures that all condition reports are forwarded to head office no later than 48 hours after move-out.
  • Provides a month-end move-out purchase order request for cleaning and damages prior to month-end.
  • Collect rent arrears and maintain accurate payment and communication records.
  • Controls all keys/security systems for the common areas and units.
  • Posts notices as required for snow removal purposes, annual inspections, parking lot cleaning, etc.
  • Conducts regular inspections of balconies, storage areas, bike facilities, and parking lots, and promptly addresses any identified issues as needed.
  • Monitors visitor parking and distributes notices of non-compliance.
  • Monitors refuse and recycling.
  • Distributes documentation to tenants when required to do so by the Property Manager.
  • Delivers late rent notices and eviction notices as prepared by the head office and posts abandonment notices.
  • Directs tenants to the head office should they wish to pay their rental amount in cash.
  • Prepares and submits Residential Tenancies Branch (RTB) claims for arrears, disputes, or enforcement as needed.
  • Attends RTB hearings for claims as required by the Property Manager.
  • Maintains the assigned property’s designated office in a clean and tidy manner.
  • Provides support and assistance as required to other team members, in particular as workloads fluctuate.
  • Collaborates effectively with team members throughout the business at all levels.
  • Makes use of knowledge of standard office administrative practices and procedures.
  • Ensures that deliverables align with the strategic priorities of the business units supported.
  • Ensures that the building is well maintained visually, mechanically and operationally, under the direction of, and while reporting directly to, the Property Manager.
  • Completes thorough cleaning for the following areas: hallways, stairwells, entrances and exits, lobbies, common areas, mail areas, and vestibules. This includes vacuuming, washing floors, cleaning all surfaces, dusting, polishing, waxing if required, and spot cleaning.
  • Assesses and completes minor maintenance duties, which include minor painting and patching, tightening a closet guard or toilet seat that has become loose, etc.
  • Ensures the exterior area of the property, including the landscaped areas, parking lot, lawn areas and boulevards, is kept clean and clear of litter.
  • Ensures the garbage area, including the garbage bins and chutes on every floor, is clean and odour-free.
  • Cleans windows in all common areas, and all reachable outside windows in the common areas.
  • Completes elevator, vestibule, and lobby touch-up cleaning.
  • Completes touch-up cleaning of suites on move-out (0–2 hours). Cleaning above and beyond “minor” will be contracted and charged back to the outgoing tenant.
  • Oversees filter changes and HVAC performance contract.
  • Monitors the parkade overhead doors and completes cleaning of the optical eye as needed.
  • Logs annual maintenance and building inventory.
  • Changes smoke detector batteries as required.
  • Oversees planters as required.
  • Mows the lawn as needed.
  • Maintains a weed-free property. If weeds become a broader problem, discusses with the Property Manager.
  • Ensures shrubs, flower beds, mulch and rock areas are neat, tidy, and trimmed of dead leaves.
  • Monitors the sprinkler system daily to ensure the lawn is properly watered.
  • Completes spring and fall clean-up, which includes raking, blowing and removal of leaves from the property, as well as all debris removal; completes ground preparation for seasonal changes as required.
  • Spreads sand, salt, and ice melt as needed and hand-shovels emergency entrances and exits.
  • Ensures snow removal contractors are clearing parking lots.
  • Operate powered mobile equipment to clear snow and ice from designated areas, ensuring safe and accessible conditions.
  • Expedites full lot cleaning by informing tenants to move vehicles.
  • Hand-shovels all walkways, entrances, and exits.
  • Obtains estimates and quotes for select contract work required throughout the property.
  • Approves contractor quotes up to $300.00. Any repairs, purchases or deliveries that exceed $300.00 must be authorized by a purchase order provided by Management.
  • Supervises contract work to ensure that work is being done within the required timeframe.
  • Reports all completed contract work to the Property Manager.
  • Maintains an up-to-date list of preferred contractors provided by Head Office.
