About The Position

The Reservations Coordinator supports conference and event operations by managing all reservations and coordinating select low-complexity meetings. This role operates Monday through Friday, 8:00 AM to 5:00 PM, and ensures a seamless client experience by partnering closely with internal teams to execute meetings and events to a high standard. Rapport is a specialized division of FLIK Hospitality Group focused on all aspects of guest and employee services, meeting and event planning and conference center management. Requirements

  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook

Nice To Haves

  • 2+ years of experience in reservations, event planning, or hospitality coordination
  • Strong customer service and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Knowledge of industry trends and best practices
  • Bachelor’s degree preferred

Responsibilities

  • Manage incoming calls and process client reservations
  • Coordinate scheduling and usage of conference spaces
  • Communicate event details with Conference Services, Catering, and Audio Visual teams
  • Finalize event plans with clients and distribute details to all departments
  • Ensure meeting rooms and AV setups are prepared according to client specifications
  • Provide business center support as needed
  • Maintain accurate records in internal systems and generate end-of-day reports
  • Support additional operational tasks as assigned
