About The Position

Reporting to the Supervisor, Camp and Logistics Administration, the Reservations Agent is responsible for providing administrative support to all site departments. The primary responsibility is the effective coordination of flights for commuters, buses, as well as accommodations for employees, contractors, and visitors.

Requirements

  • High School diploma required; post-secondary diploma preferred
  • A minimum of 5 years’ working experience in the client service industry; travel and tourism preferred
  • Experience working with remote locations is an asset.
  • Attention to detail, complemented by solid planning and organizing skills.
  • Strong analytical skills with identifying trends
  • Excellent working knowledge of all MS Office Software especially Outlook, Excel, Word and PowerPoint are a must.
  • Excellent verbal and written communication and leadership skills.
  • Independent judgement and solid decision-making quality
  • Valid drivers’ license.

Responsibilities

  • Assign and manage schedules for flight manifests for all employees, contractors, and visitors
  • Creating and distributing bus manifests
  • Assign and manage bunkhouse room allocations to employees, contractors, and visitors
  • Manages the Logistiks booking system to ensure correct recording of arrivals; departures; rosters and man days and resolve any irregularities
  • Assist with forecasts to identify causes of bottlenecks, and assist in developing proposals on process improvement
  • Complies with and promotes behaviour and business practices outlined in Alamos Gold Policies/Procedures in accordance with all applicable laws, regulations, and standards.
  • Comply with all logistics standards, policies, and procedures
  • Liaison with Front Desk to ensure all Bunkhouse procedures are adhered to
  • Ongoing tracking of trends and weekly and monthly reporting of relevant KPI’s.
  • Enter work orders, requisitions, and purchase orders when required.
  • Conduct regular bunkhouse/kitchen walkthroughs and inspections
  • Participate in the budgetary process, maintain, and track budgetary items.
  • Work collaboratively with Human Resources to ensure continuity of the Contractor Clearance Process
  • Work collaboratively with all departments and maintain positive relationships with external contractors.
  • Other duties and responsibilities as required
