About The Position

The Traffic Dispatcher Clerk, also known as Window Clerk, will coordinate and schedule drivers for pick-up and delivery in a safe, efficient, and timely manner. This role may involve customer interaction and is responsible for processing cargo bookings or import/export documentation within established deadlines and regulatory requirements. The position involves receiving, reconciling, consolidating, and/or summarizing documents and information from customers.

Requirements

Minimum two (2) years’ experience in Customer Service and Import Documentation required.
High school diploma or equivalent.
Intermediate to advanced experience with MS Word, Excel, Outlook.
Moderate to advanced typing skills and 10-key by touch (40-45 wpm).
Advanced communication skills in English in order to communicate with customers.
Ability to follow procedures and instructions.
Ability to establish and maintain effective working relationships with customers and fellow employees.
Ability to exercise independent judgment within established systems and procedures.
Possess organizational and time management skills with the ability to prioritize and be detail-oriented.
Excellent verbal and written communication skills.
Strong organizational skills to prepare and assign routes.
Strong leadership skills to ensure drivers compliance with direction and assignments.
Basic understanding of geographical area and mapping programs to facilitate efficient routing.
Proficient with or able to quickly learn dispatch and recordkeeping systems.
Ability to work at a fast pace and under pressure.
Thorough understanding of shipping industry.
At least three years of related experience and execution of similar duties in warehouse/freight operations required.

Nice To Haves

Associates degree in Transportation, Logistics, or related field preferred.

Responsibilities

Ensure that all documentation is submitted timely, as required.
Check documents, make necessary corrections, and distribute them to corresponding customers to meet their respective deadlines.
Collects Bills of Ladings for all assigned customers; check the information on all documentation for accuracy and disseminates for processing.
Inform all customers of cargo arrivals/departures, via email/fax with an arrival/departure notice and a copy of the bill of lading. Securing confirmation and file in the master file.
Secure original bills of lading properly endorsed, and delivery orders.
Check that cargo is properly released.
Work hand in hand with truck drivers.
Consolidates orders into truckloads for specific destinations.
Coordinate and enter all data into computer system.
Heavy phone communications answering any questions and informing customers of situations.
Performs other related duties as assigned.
