About The Position

The Traffic Dispatcher Clerk, also known as Window Clerk, will coordinate and schedule drivers for pick-up and delivery in a safe, efficient, and timely manner. This role may involve direct customer interaction and is responsible for processing cargo bookings or import/export documentation within established deadlines and regulatory requirements. The clerk will receive, reconcile, consolidate, and/or summarize documents and information from customers.

Requirements

  • Minimum two (2) years’ experience in Customer Service and Import Documentation required.
  • High school diploma or equivalent.
  • Intermediate to advanced experience with MS Word, Excel, Outlook.
  • Moderate to advanced typing skills and 10-key by touch (40-45 wpm).
  • Advanced communication skills in English in order to communicate with customers.
  • Ability to follow procedures and instructions.
  • Ability to establish and maintain effective working relationships with customers and fellow employees.
  • Ability to exercise independent judgment within established systems and procedures.
  • Possess organizational and time management skills with the ability to prioritize and be detail-oriented.
  • At least three years of related experience and execution of similar duties in warehouse/freight operations required.
  • Excellent verbal and written communication skills.
  • Strong organizational skills to prepare and assign routes.
  • Strong leadership skills to ensure drivers compliance with direction and assignments.
  • Basic understanding of geographical area and mapping programs to facilitate efficient routing.
  • Proficient with or able to quickly learn dispatch and recordkeeping systems.
  • Ability to work at a fast pace and under pressure.
  • Thorough understanding of shipping industry.

  • Associates degree in Transportation, Logistics, or related field preferred.

Responsibilities

  • Ensure that all documentation is submitted timely, as required.
  • Check documents, make necessary corrections, and distribute them to corresponding customers to meet their respective deadlines.
  • Collects Bills of Ladings for all assigned customers; check the information on all documentation for accuracy and disseminates for processing.
  • Inform all customers of cargo arrivals/departures, via email/fax with an arrival/departure notice and a copy of the bill of lading. Securing confirmation and file in the master file.
  • Secure original bills of lading properly endorsed, and delivery orders.
  • Check that cargo is properly released.
  • Work hand in hand with truck drivers.
  • Consolidates orders into truckloads for specific destinations.
  • Coordinate and enter all data into computer system.
  • Heavy phone communications answering any questions and informing customers of situations.
  • Performs other related duties as assigned.
