About The Position

This role will support our Richmond, VA, Baltimore, MD, Beltsville, MD, and Mechanicsburg, PA branches, and will sit at one of those branches. The role will be 100% in office during the training period, eventually transitioning to a hybrid schedule, reporting to whichever branch is the closest 'home base'. The Repair Operations Coordinator will provide specialized support to the Service Business tendered repair process; booking secured Quoted Repair orders in SAP, initiate invoice downpayments, requisition parts, follow-up with customers, and coordinate with Operations and customers to schedule planned repairs. The role interacts with General Manager, Salespeople, Supervisors and Technicians to increase tender repair revenues and customer communication.

Requirements

  • 2+ years of progressive and successful customer service experience
  • A High School education or equivalent
  • Proficient in MS Word and Excel
  • Well Organized
  • Customer service mindset

Responsibilities

  • Provide specialized support to the Service Business tendered repair process
  • Book secured Quoted Repair orders in SAP
  • Initiate invoice downpayments
  • Requisition parts
  • Follow-up with customers
  • Coordinate with Operations and customers to schedule planned repairs
  • Interact with General Manager, Salespeople, Supervisors and Technicians to increase tender repair revenues and customer communication
  • Perform general office work and administrative tasks related to the ongoing repair business of the branch
  • Book quoted repair orders and requisition parts
  • Schedule quoted repair and quick quotes; collaborate with supervisors, customers, 3rd party entities, and regulatory bodies
  • Maintain Technician on-call Scheduler, for overtime calls for Technicians and Supervisors
  • Assist Service / Repair Supervisor
  • Audit completeness and accuracy of orders
  • Update SAP
  • Provide internal Technician support
  • Assist with permitting and permit management
  • Assist with invoice dispute and initiate invoices
  • Manage and order Office Supplies
  • Reporting functions for Branch Staff Meetings
  • Additional duties as assigned
