About The Position

Quest International Inc. is seeking a Repair Account Coordinator to support our Operations team and Service Repair Center in Irvine, CA. This position supports OEM repair accounts, repair orders, shipment documentation, customer follow-up, customer portals, and administrative quality checks. The Repair Account Coordinator supports OEM and strategic customer repair activity from order receipt through shipment. This role handles customer correspondence, repair quotes, SOs/RAs, customer follow-up, shipment documentation, packing lists, shipping labels, air bills, tracking numbers, customer portal updates, pre-invoicing packets, and technical data entry. This position requires strong accuracy, organization, communication, and follow-through in a deadline-driven Service Repair Center environment.

Requirements

  • High school diploma or equivalent.
  • 2+ years of customer service, repair depot, shipping/order support, administrative operations, or related experience.
  • Experience with repair orders, service orders, return authorizations, customer follow-up, shipment documentation, packing lists, shipping labels, air bills, tracking numbers, or similar order/shipping documentation.
  • Microsoft Excel and Word proficiency.
  • Experience using FedEx Manager or a comparable shipping platform.
  • Experience using customer portals, databases, ERP systems, CRM systems, ticketing systems, or repair/order management systems.
  • Ability to type at least 40 WPM accurately.
  • Strong communication, organization, prioritization, and attention to detail.
  • Ability to work onsite in Irvine, CA, Monday through Friday.

  • SO/RA processing experience.
  • Repair quote or service quote follow-up experience.
  • Customer portal and shipment tracking experience.
  • ISO-certified or procedure-driven environment experience.

Responsibilities

  • Support OEM accounts and strategic customers with repair-related correspondence, quotes, SOs/RAs, and shipment activity.
  • Follow up with customers on repair quotes, pending inquiries, shipment status, and order documentation.
  • Prepare and organize pre-invoicing packets, packing lists, shipping labels, air bills, shipment records, and tracking numbers.
  • Use FedEx Manager and customer portals to support incoming and outgoing shipment coordination.
  • Maintain accurate customer records, repair/order activity, technical data entry, and account documentation.
  • Support repair, shipment, and operational reports for management and customers.
  • Track delivery deadlines, shipment deadlines, customer follow-ups, and operational priorities.
  • Perform final administrative quality checks across repair activity, shipping paperwork, and customer/account records.
  • Follow Quest’s ISO-certified policies and procedures.
