About The Position

This role is responsible for handling customer inquiries, processing orders, and resolving complaints to ensure customer satisfaction. The position involves direct communication with customers, internal departments, and sales managers to facilitate smooth order processing and issue resolution. The role requires accurate data entry, adherence to company policies, and proactive problem-solving.

Requirements

  • High school diploma or GED plus additional specialized courses or Associates Degree in a related field.
  • Excellent PC skills with proficiency in MS Office programs.
  • Ability to quickly learn new software such as RentalMan.
  • Comprehensive, specialized knowledge of company services & applications.
  • Proficiency with order entry / customer service applications, word processing, and spreadsheet software.
  • Ability to maintain spreadsheets and modify formats.
  • Effective problem-solving and interpersonal skills.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent.
  • Ability to handle diverse tasks simultaneously and work effectively with interruptions, meeting or exceeding production and quality goals.
  • Ability to pay close attention to details.

Nice To Haves

  • Customer Service/Sales experience in-house or similar environment with knowledge of departmental function, procedures, terminology and interrelationships preferred.
  • Experience in Industrial Safety commodities and/or Rental Equipment products and services preferred.

Responsibilities

  • Answers incoming calls, greets customers, and provides timely responses to inquiries regarding product and service orders, delivery, and pricing.
  • Researches price and delivery information using system data and confirms details with customers.
  • Calculates pricing while adhering to margin guidelines.
  • Ensures all required information is obtained and supporting documents are completed correctly.
  • Takes orders via phone, fax, email, and web-based systems and enters them into the order entry system.
  • Clarifies customer specifications as needed.
  • Enters customer orders accurately and in a timely manner.
  • Communicates terms and conditions and ensures required documentation (letters of credit, delivery bonds, shipping, freight forwarding) is complete.
  • Handles customer complaints, including processing returns.
  • Assists in determining product return eligibility and customer credits based on sales and warranty policies.
  • Works with accounting to resolve customer issues and ensure satisfaction.
  • Reviews customer open order and backorder reports daily to proactively identify and resolve potential issues.
  • Contacts customers regarding difficulties in filling orders, meeting delivery times, pricing adjustments, or other issues.
  • Follows up with internal contacts to resolve issues promptly.
  • Sets up new customer accounts according to policy and procedures.
  • Enters data from various sources to maintain and update databases and spreadsheets, including tracking project costs and schedule performance.
  • Ensures data integrity through verification of input and calculations.
  • Maintains a close alliance and dialogue with assigned Sales Account Managers to ensure customer needs are serviced.
  • Contacts other departments or external contacts to clarify, obtain, and furnish information.
  • Assists other department members as necessary.
