About The Position

Cleveland Brothers Equipment Co., Inc., the exclusive Cat® dealer in western and central Pennsylvania, northern West Virginia, and western Maryland, is seeking a motivated self-starter to join its rental team. The Rental Coordinator handles incoming rental and sales calls, helps customers identify available equipment, and provides information about equipment specifications, safety, and proper use. The role also manages rental contracts and payment information, coordinates fleet readiness and transportation, verifies customer insurance, and works with colleagues to maximize rental inventory utilization across the company.

Requirements

Must be organized and detail-oriented, with the ability to handle and prioritize multiple tasks and meet deadlines.
Knowledge of equipment product lines.
Good problem-solving and communication skills.
Flexibility, cooperation, and teamwork with all departments and locations.
Knowledge of current company policies and procedures.
Basic keyboard and computer skills.
Proficiency with Lotus Notes and DBSI.
Able to work overtime and travel when required.

Responsibilities

Answer incoming rental and sales-related calls and maintain a call log.
Qualify customer needs against rental equipment availability.
Educate customers on equipment specifications, safety concerns, and proper equipment use.
Initiate and maintain accurate, timely rental contracts.
Gather information required by the credit department to approve payment terms.
Process CAT Access and credit card payments.
Coordinate with service departments at all locations to ensure rental fleet readiness.
Coordinate rental deliveries and call-offs with the transportation department.
Obtain proof of required insurance from customers’ insurance companies.
Work with other Rental Coordinators and Salesmen to maximize rental inventory utilization across the company.
Perform other duties as assigned by the Supervisor.
