About The Position

This role is responsible for managing the front office operations of the Rehabilitation Department, ensuring efficient patient check-in and check-out processes. Key duties include patient communication, appointment scheduling, payment collection, insurance verification, and maintaining patient records. The position also involves assisting with special projects, managing cancellations, and ensuring adherence to departmental protocols and organizational requirements.

Requirements

  • High school diploma or GED required.
  • Knowledge of computer systems and EMR software.
  • Knowledge of phone systems.
  • Knowledge of rehabilitation terminology and insurance/payor rules and regulations.
  • Knowledge of referral processes and patient eligibility.
  • Skill in effectively communicating with patients and staff.
  • Skill in using a computer system/EMR.
  • Skill in accurate documentation of work.
  • Ability to establish and maintain effective working relationships with patients, providers, and staff.
  • Ability to communicate clearly in verbal and written form.
  • Ability to be a resource to patients and staff.
  • Must read the LOS employee handbook and sign an acknowledgement receipt.
  • OSHA Requirements and training.
  • Adherence to LOS OIG Compliance Program.

Nice To Haves

  • Bachelor’s degree preferred.
  • One year of experience in out-patient rehabilitation preferred.

Responsibilities

  • Communicating with patients and scheduling patient appointments, confirming future appointments, and performing phone confirmations of next-day evaluations.
  • Communicating visit costs to patients and explaining patient benefits as needed.
  • Collecting patient payments, pulling visit totals, and batching collections at the end of the day.
  • Communicating with rehabilitation staff and therapists to clarify referral requests and scheduling needs.
  • Collecting and verifying patient demographics and insurance information, and preparing intake packets for the following day.
  • Scanning documents into EMR as needed.
  • Assisting the Rehabilitation Front Office Supervisor with special projects.
  • Answering incoming Rehabilitation Department phone calls and checking faxes.
  • Assisting in maintaining goals for quality patient care, patient satisfaction, and treatment compliance by serving patient needs and requests.
  • Managing patient cancellations according to department protocol, including scheduling from a waitlist.
  • Assisting in creating new patient charts.
  • Confirming DME proof of delivery and ABN documents.
  • Scheduling progress notes due.
  • Maintaining patient confidentiality.
  • Demonstrating current competencies for the job position.
