This position is responsible for performance of regulatory activities within the Board of Medicine. This position performs assignments that require independent judgment and initiative in carrying out assignments to completion. Tasks are performed under the supervision of the Deputy Executive Director. Assists with the coordination of the overall development and finalization of the agenda for Board and Committee meetings, as well as attends Board and Committee meetings, if necessary. Schedules meetings and sends reminders for the Probable Cause North and South Panels including notifying Prosecutive Services, Board Counsel, board office staff and panelists of meeting participants. Assists the Deputy Executive Director with other scheduling as needed. Attends other departmental meetings as required. Reviews licensee agenda materials, including disciplinary cases, probation cases, and license application cases, to identify requirements for notification of licensees, complainants and other parties of required or optional appearances before the Board and Committee meetings. Ensures that such notifications are completed in accordance with mandatory timeframes. Responsible for preparing legal notices of Board and Committee meetings and completes legal filing and distribution within mandatory timeframes with the Florida Administrative Weekly and the Department of Health. Assists with preparation of minutes for Full Board and committees as needed. For Final Orders received by the Office of the Attorney General, completes the fact sheets, obtains Executive Director signature, and attaches all documents before filing by established deadlines. Packs and prepares materials for Board and Committee meetings, including shipping meeting materials to board members or meeting locations as needed. Serves as the Board of Medicine’s ‘Travel Champion’. Prepares and submits travel authorizations for board members and board office travelers. Prepares and submits travel reimbursement forms for board office travelers. Serves as the Board of Medicine’s purchasing and Works subject matter expert and provides training to new staff. Participates in any workgroups related to these activities, such as those involving STMS and Works. Provides suggestions for improving existing processes to maximize agency efficiency. Serves as back-up Administrator of Board conference call line. Assists with setting up and monitoring Board conference calls. Ensures private meetings have no public listeners. Receives and processes regulatory public record requests such as agenda material, disciplinary information on licensees and any other requests received within the Administrative Unit of the Board of Medicine, and as directed by Deputy Executive Director. Responsible for the preparation of the yearly calendar for the Board of Medicine. The calendar contains Board, Department, Association and Committee meeting dates and deadlines. Responsible for informing Board and Council staff of impending deadlines for meetings. Ensures that Board calendar is correct and up to date. Responsible for the preparation of desk guides and updates associated with the position. Assists with processing license and registration renewals not processed by Image API, including Area of Critical Need (ACN), Limited License (LL), and Training Registration (TRN) and House Physicians (HSE). Performs other duties as necessary or assigned by the Regulatory Supervisor/Consultant, Program Operations Administrator or Executive Director.
