About The Position

The Registration Coordinator is a leadership position on our team which supports our registration staff in achieving high quality, patient centered care. This position requires the desire and ability to work with all types of patients from pediatrics to geriatrics. The successful Registration Coordinator also possesses the ability to lead team of Registration Specialists in providing a superior level of customer service. The Registration Coordinator often collaborates with the Clinical team, Provider team, and other departments to provide seamless, high-quality care to our patients. This position requires effective communication skills and the ability to work calmly under stressful conditions within time constraints. This Registration Coordinator must be willing to collaborate leadership team members from other locations to ensure consistency in the service provided across locations. The Registration Coordinator must be willing to travel to other Urgent Care sites in order to acquire training and provide coverage as needed. The Registration Coordinator will be required to achieve patient satisfaction scores measured by surveys and reported monthly.

Requirements

  • High school graduate or equivalent with college or business/office administration courses preferred.
  • Two (2) years medical office or healthcare experience required.
  • Valid driver's license and reliable transportation required.
  • Types or word-processes 40 wpm preferred.
  • Demonstrates knowledge of filing systems and methods, computers, and other common office equipment.
  • Demonstrates effective human relation skills Knowledge of CPT and IC-9 coding.

Nice To Haves

  • Two (2) years supervisory experience in a hospital or other setting preferred.

Responsibilities

  • Coordinates Daily Registration Duties: Normally spends 80% of time performing routine duties and working with staff in areas of responsibility. Assures prompt reception and registration of patients upon arrival in the department. Assures prompt and accurate registration of patients to meet established turnaround time standards. Maintains confidentiality of all patient files in the department, following established policies and procedures for release outside the department. Ensures that billing is completed accurately and timely. Ensures that incoming telephone calls are answered politely and promptly, routed correctly and accurate messages taken. Prepares and communicates procedures for downtime registration. Responds to complaints from customers and medical staff, relating to any registration processes. Reviews relevant sections of the department policy and procedure manual as necessary or at least on an annual basis. Audits charts on a daily basis to ensure accurate registration information. Audits cashier closeout sheets on a daily basis to assure accuracy on all monies collected. Audits charts on a daily basis to check for missed charges.
  • Supervises Staff Assigned to Areas of Responsibility: Prepares and posts work schedules for receptionist at least once monthly prior to effective date. Conducts employee performance evaluations on or before due date in coordination with the Urgent Care Director. Communicates with, counsels, and disciplines employees as necessary, promptly completing appropriate documentation. Ensures appropriate training and orientation for employees is completed and recorded in departmental files. Interviews and assists in the selection of clerical employees. Conducts reception meetings.
  • Maintains supplies and equipment for assigned areas and performs other duties as required: Maintains adequate levels of necessary supplies to prevent outages and ensure continuity of operations. Monitors condition of equipment in assigned areas on an ongoing basis, ensuring that necessary repairs and service needs are addressed promptly. Works closely with Information Systems to assure proper operation of equipment/computer within the department. Reports equipment problems which seriously impact department operations to Information Systems immediately.
  • Assists in developing and adhering to department budget within areas of responsibility: Provides input to the Urgent care Center Director for statistical projections, staffing needs, usual expenses and equipment or other capital needs and/or contingencies. When possible, anticipates changes in workload, equipment performance, which may significantly impact budget need. Maintains staff levels and schedules to meet or exceed FTE and salary expense budgets by 5% or less. Advises Director of unusual purchase needs or significant variations in supplies usage.
  • Assists in developing and adhering to department budget within areas of responsibility: Cross-trained in all areas of Urgent Care Center as deemed necessary by Urgent Care Director. Meets the VRE patient satisfaction goal.
