About The Position

Beloit Health System is looking to add a Registration Clerk to our Counseling Care Team! This role involves answering incoming telephone calls, checking in patients, scheduling appointments, and taking telephone messages. The Registration Clerk is responsible for accurately recording information, implementing the check-in process (including guarantor selection, demographic updates, insurance entry/verification, copayments, and scanning insurance cards), verifying signatures, checking patients out, scheduling follow-up appointments, setting up new patient accounts, managing patient account status for delinquent accounts, collecting and processing patient payments, and updating patient data in the computer system. The role requires the ability to perform functions accurately and efficiently with appropriate computer software.

Requirements

  • High School diploma or equivalent required.
  • Strong computer skills (including MS Office and Word).
  • Proficient typing skills.
  • Ability to maintain accuracy while working on multiple tasks in a fast-paced environment under low supervision.
  • Excellent verbal and written communication skills, including professional telephone etiquette.
  • Ability to ensure confidentiality of sensitive information and maintain HIPAA compliance.
  • Exceptional organization and time management skills.

Nice To Haves

  • Experience in working directly with the public in a service industry is strongly preferred.

Responsibilities

  • Answers incoming telephone calls in a prompt, courteous manner.
  • Accurately records pertinent information when scheduling appointments and taking phone messages.
  • Completely and accurately implements check-in process to include guarantor selection, updating demographic information, insurance entry and verification, copayments, and scanning of insurance card.
  • Verifies that signature of NPP is on file, if not has patient sign form and updates on system.
  • Checks patient out after completion of visit.
  • Schedules any necessary follow-up appointments.
  • Sets up information on system for new patient accounts.
  • Follows instructions regarding patient account status to determine delinquent accounts and alerts appropriate personnel at time appointment is scheduled.
  • Collects patient payments accurately (includes cash, check, debit and credit card payments), enters payments into computer system and prints receipt.
  • Executes changes when indicated on patient data within the computer system, i.e., address, phone number, etc.
  • Demonstrates ability to perform functions accurately and efficiently with computer software application appropriate to position.
