About The Position

The Registrar is responsible for maintaining all students' permanent record files, including upgrading, correction, and deletions. This position is crucial for the recording, posting, and dissemination of grades, as well as the review and certification of degree and certificate requirements for graduating students. The Registrar will coordinate official registration under the direction of the Vice Chancellor of Student Affairs.

Requirements

  • Bachelor’s degree, preferably in business, public administration, or data management information systems.
  • Five years of relevant experience in registrations and/or records.
  • Must be proficient in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Must have substantial experience in automated student record-keeping systems such as Banner.
  • Selected candidate for employment will be subject to pre-employment background checks, including criminal history check, and any offer of employment will be contingent upon that outcome.

  • Master's degree preferred.

Responsibilities

  • Organizing and implementation of official registration on a semester basis, under the direction of the Vice Chancellor of Student Affairs.
  • Serve as the primary point of contact for FERPA-related matters, ensuring compliance with federal regulations, institutional policies, and the integrity of student academic records.
  • Train faculty and staff in FERPA.
  • Implement procedures relating to college policies, e.g., FERPA, academic records, etc.
  • Review and certify degree and certificate requirements on applications for graduation to be submitted to the Vice Chancellor of Student Affairs for final approval.
  • Handle all internal/external communications with post-secondary institutions regarding requests for transcripts or related information about students’ records.
  • Permanent member of the College Graduation Committee.
  • Responsible for handling request for transfer of credits into the College, under the direction of the Vice Chancellor of Student Affairs.
  • Development of professional competency by participation and membership in state and regional student service-oriented organizations.
  • Maintain all student permanent records files, including upgrading, correction, and deletions.
  • Communicate with Department Heads, Advisors, and Department Chairpersons to maintain updated program materials for recruitment and information purposes on program curriculum requirements.
  • Responsible for semester academic probation list to be sent to advisors and students.
  • Manage prerequisite reports and process students to ensure enrollment requirements are met.
  • Providing leadership and training to faculty and staff regarding the use of Banner, DARS, and other software used in the registration and records process.
  • Other duties as assigned by the Vice Chancellor of Student Affairs.
