About The Position

The Registrar & Office Manager at Eagle Lake serves The Navigators by managing registration, customer service, and office operations to ensure a smooth and reliable experience for camper families. This role is crucial for building confidence and trust with families while maintaining the efficiency of Eagle Lake’s internal systems. The position requires a strong focus on the end-to-end camper registration process, meticulous record-keeping, effective parent communication, and excellent customer service. Additionally, the role involves managing daily office administration, supporting seasonal operations, and providing administrative leadership, particularly during the summer season when on-site residency is required. The position also involves participating in organizational development events and administrative processes, and adhering to The Navigators' calling, values, and purpose.

Requirements

  • Belief in and adherence to the Statement of Faith and Mission of The Navigators.
  • Alignment with Eagle Lake’s Purpose, Core Values, and Brand Promise, and willingness to abide by Eagle Lake’s Relational Covenant.
  • At least two years of experience in office administration, customer service, registration, or operations, including experience working within a CRM or database system.
  • Microsoft Office and CRM/database systems, with proven ability to maintain data integrity and accuracy.
  • Excellent interpersonal and communication skills including verbal & written, to create understanding and build strong working relationships required.
  • Bachelor’s degree or equivalent experience in Business, Office Administration, Customer Service, Communications, or a related field.
  • Must be located in the Colorado Springs, CO area.
  • Primarily in-office.
  • Ability to live at Eagle Lake Camp for 10 weeks in the summer season.
  • Required to fundraise 50% of gross annual salary.

Responsibilities

  • Own the end-to-end camper registration process across all Eagle Lake programs.
  • Manage enrollment workflows including registrations, waitlists, transfers, cancellations, and payment plans.
  • Ensure camper records, medical forms, waivers, and required documentation are complete and accurate.
  • Maintain the CRM with a high level of data integrity and accuracy.
  • Manage the pre-camp parent communication journey, ensuring families receive timely, accurate, and engaging communications.
  • Generate enrollment reports and provide timely data to organizational leaders.
  • Coordinate with The Navigators’ IT/Data Systems team regarding CRM improvements, permissions, and technical needs.
  • Continuously evaluate and improve enrollment processes to create a more efficient experience for families.
  • Serve as the primary point of contact for camper families by phone and email.
  • Provide prompt, accurate, and gracious support throughout the enrollment process.
  • Resolve registration issues and coordinate with program leaders when specialized support is needed.
  • Recommend improvements to registration and service processes that reduce friction for families and staff.
  • Collaborate with program teams to ensure families receive timely, accurate communication.
  • Coordinate parent feedback systems, including post-camp surveys, Net Promoter Score (NPS) tracking, and reporting actionable insights.
  • Manage daily office operations including reception, mail, office supplies, and administrative systems.
  • Coordinate administrative needs across Eagle Lake.
  • Support seasonal office operations and administrative logistics.
  • Develop and improve office systems that increase organizational efficiency.
  • Assist leadership with administrative projects and cross-department coordination as needed.
  • Provide leadership for the overnight camp office during the summer season, ensuring efficient administrative operations, exceptional customer service, and support for campers, families, and seasonal staff.
  • Support the training and supervision of seasonal and year-round office staff and volunteers.
  • Identify opportunities to improve administrative workflows across the organization.
  • Assist with organization-wide administrative initiatives that strengthen Eagle Lake’s operations.
  • Participate in Navigators’ on-site learning and development events, Cultural Development and Diversity trainings, or other non-Navigator developmental events as appropriate.
  • Participate in annual processes, such as the organizational Plan and Progress Review (PPR), Engagement Survey, Reaffirmation of the Navigators Code of Conduct, Calling-Core Values-Vision, Statement of Faith, Driver’s Authorization, and other releases as required.
  • Submit time worked on a weekly basis through the Workday Time Tracking system.
  • Other job-related duties as assigned.
