About The Position

On a day-to-day basis, this position mines for credentials, identifies students eligible for graduation, maintains student records, and assists with Registrar and Records Office operations. The position supports institutional completion initiatives while ensuring compliance with academic policies, degree requirements, and FERPA regulations.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Computer proficiency with knowledge of Microsoft Excel and similar application programs.
  • Ability to work effectively in a fast-paced, team-oriented, and ever-changing environment.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities while working independently and collaboratively.
  • Strong customer service skills with the ability to exercise judgment, discretion, and attention to detail.
  • Ability to maintain confidentiality and comply with FERPA regulations.
  • Ability to collaborate effective across functional areas, including advising, academic affairs, K-14 programs, apprenticeship teams, and student success, to support degree completion and student outcomes.

Responsibilities

  • Mine for credentials and identify students who may be eligible for certificate, technical certificate, or degree completion and assist with the awarding posting of credentials.
  • Proactively run, review, and analyze degree audits for students pursuing certificates, technical certificates, and degrees.
  • Apply understanding of unique enrollment, grading, and completion structures for each population (e.g., credit for prior learning, dual credit completion pathways for K-14).
  • Identify students eligible for graduation and assist with the awarding and posting of credentials.
  • Identify students nearing completion (e.g., within defined credit/hour thresholds or missing limited requirements) through routine audit reporting and distribute near-completion reports to: Academic advisors, K-14 team members, Apprenticeship team.
  • Track and follow up on outreach outcomes in collaboration with advising and student success teams.
  • Escalate systematic issues identified during audits (e.g., curriculum misalignments, missing grades, duplicate courses.).
  • Maintain accurate student records and data entry within Banner and other institutional systems.
  • Coordinate with advising, faculty, and program chairs regarding degree completion requirements and related matters.
  • Communicate professionally with students, faculty, and staff regarding graduation and credential-related questions.
  • Remain informed of academic policy updates and system changes related to degree audits and credential processing.
  • Assist with imaging, filing, records maintenance, commencement-related activities, and semester-end processing.
  • Provide general customer service support and direct inquiries to appropriate offices when necessary.
  • Provide regular reports on: Credentials identified, Degrees awarded, Near-completers identified, Audit volume by population (K-14, apprenticeship, traditional).
  • Perform additional duties as assigned in support of Registrar and Records Office operations.
