About The Position

A Refractive Surgery Coordinator plays a key role in supporting patients throughout the refractive and cataract surgery process. This position educates patients on premium intraocular lens (IOL) options and refractive procedures (LASIK, PRK, Visian ICL, etc.) and coordinates next steps with the surgeon and scheduling team. This role also reviews financial consideration for each procedure ensuring accurate data for surgical planning and an exceptional, informed patient experience.

Requirements

  • High School Diploma or equivalent
  • Minimum 4 years of experience in ophthalmology.
  • Strong understanding of ophthalmic procedures, terminology, and surgical workflows
  • Experience with EHR software; Nextech/ICP experience strongly preferred
  • Strong communication and interpersonal skills
  • Ability to work in a fast-paced clinical environment.
  • Must have ability to travel to all practice locations as necessary

Nice To Haves

  • JCAHPO COA or higher certification preferred.
  • Prior experience educating patients on premium IOLs and laser vision correction preferred.

Responsibilities

  • Explains cataract and refractive surgery options in clear, patient-friendly terms, including: Premium IOLs (Toric, Multifocal, EDOF), monovision strategies, and target refractions; Laser vision correction procedures (LASIK, PRK, SMILE) and Phakic IOL where applicable; Cornea Crosslinking or similar procedures where applicable.
  • Discusses benefits, risks, candidacy criteria, expected visual outcomes, recovery timelines, activity restrictions, and realistic expectations.
  • Aligns recommendations to patient lifestyle goals and surgeon guidance, document preferences, questions, and decision points.
  • Reviews out-of-pocket costs for premium lenses and refractive procedures, financing options, and payment timelines according to practice policy (no clinical promises or guarantees).
  • Communicates test results and preliminary recommendations to the surgeon, ensures lens selections, astigmatism plans, and special orders are documented accurately.
  • Hands off to the surgery coordination team with complete packets (consents, calculations, measurements, education status).
  • Tracks pending items (additional testing, ocular surface optimization, clearances) and follows up with patients to close the gaps.
  • Enters all results, education provided, and decisions into the EMR accurately and on the same day and discussion with the patient.
  • Participates in chart audits and continuous improvement for testing standardization and patient education materials.
  • Works closely with surgeons, technicians, optometrists, and surgical coordinators to ensure a smooth patient experience and journey.
  • Contributes to updates of standard operating procedures (SOPs), patient education materials, and visual aids.
  • Contributes to team dynamic by participating in additional projects and workflows as directed; including surgery coordination and scheduling of appointments and communication with surgical facilities.
