About The Position

Annandale Village is a nonprofit community dedicated to providing progressive life assistance to adults with developmental disabilities and acquired brain injuries so they can maximize their abilities and maintain their independence in the least restrictive environment. The Recruitment & Retention Specialist plays an important role in helping Annandale find great people and supporting a positive experience from the first interaction through their continued employment. This role is responsible for the day-to-day execution of recruitment, hiring, and employee retention efforts, with a primary focus on hourly and frontline positions. The role manages recruiting workflows, candidate screening and communication, interview coordination, pre-employment requirements, and onboarding logistics, while also supporting initiatives designed to strengthen the employee experience and improve retention. Working closely with the Director of Talent Strategy and organizational leaders, the Specialist takes ownership of assigned recruiting needs while contributing to broader talent, engagement, and retention priorities. As Annandale’s Talent function evolves, this role will have opportunities to help develop and support new approaches to attracting, engaging, and retaining employees in alignment with Annandale’s Strategic Plan and future workforce needs.

Requirements

  • Associate’s degree and/or an equivalent combination of education and relevant experience.
  • Minimum of two (2) years of recruiting, hiring coordination, staffing, or related experience.
  • Strong organizational, communication, and follow-through skills.
  • Ability to manage multiple open positions and competing priorities.
  • Experience working with applicant tracking systems, HR databases, or similar technology.
  • Ability to communicate professionally and build positive relationships with candidates and hiring leaders.
  • Strong attention to detail and commitment to accurate documentation.
  • Ability to work independently within assigned areas while collaborating effectively with the broader team.
  • Commitment to providing a positive candidate experience and supporting Annandale’s mission.

Responsibilities

  • Manage full-cycle recruiting for assigned hourly and frontline positions.
  • Post and maintain internal and external job opportunities across approved recruiting platforms.
  • Review applications and identify qualified candidates.
  • Conduct phone or virtual pre-screen interviews.
  • Coordinate interviews and maintain timely communication with candidates and hiring managers.
  • Facilitate reference checks and pre-employment screening processes.
  • Extend contingent offers of employment in accordance with established guidelines.
  • Maintain awareness of hiring priorities and proactively follow up to keep searches moving forward.
  • Serve as a primary point of contact for candidates throughout the hiring process.
  • Provide timely, clear, and welcoming communication regarding next steps and expectations.
  • Help candidates understand Annandale’s mission, culture, and the importance of the work we do.
  • Follow up consistently with candidates and hiring leaders to minimize unnecessary delays.
  • Look for opportunities to strengthen the candidate experience and share recommendations with the Director of Talent and Strategy.
  • Coordinate background checks, drug screens, fingerprinting, and other required pre-employment processes.
  • Ensure required hiring and onboarding documentation is completed prior to an employee’s start date.
  • Coordinate start dates and first-day logistics with candidates, hiring managers, HR, and Training.
  • Initiate onboarding workflows within applicable HR and recruiting systems and ensure information is accurate.
  • Maintain required new-hire documentation in accordance with organizational and compliance requirements.
  • Partner with HR Operations and Training to support a smooth transition from candidate to employee.
  • Maintain accurate information regarding open positions, candidate status, and recruiting activity.
  • Monitor applicant flow and keep hiring leaders informed of progress and potential challenges.
  • Ensure requisitions, candidate records, and recruiting documentation remain current and accurate.
  • Manage multiple open positions and priorities while maintaining appropriate follow-through.
  • Identify recruiting workflow issues and bring forward ideas that could improve efficiency, effectiveness, or the candidate experience.
  • Partner with the Director of Talent and Strategy in evaluating recruiting processes, workflows, and areas of responsibility in support of Annandale’s Strategic Plan.
  • Take on expanded ownership of recruiting processes, initiatives, and outcomes as opportunities are identified and the Talent function continues to evolve.
  • Participate in job fairs, recruiting events, community outreach, and other talent initiatives.
  • Support relationships with schools, workforce programs, community partners, and other candidate sources.
  • Assist with outreach and pipeline-building efforts for recurring and difficult-to-fill positions.
  • Support Annandale’s employment brand through professional and consistent candidate communication.
  • Partner with the Director of Talent and Strategy on recruiting projects and initiatives as needed.
  • Support the development and implementation of employee retention and engagement initiatives.
  • Partner with the Director of Talent Strategy and organizational leaders to identify opportunities to strengthen the employee experience.
  • Assist with gathering and reviewing employee feedback and workforce trends that may help inform retention strategies.
  • Support initiatives that strengthen the transition from candidate to employee and contribute to a positive employment experience.
  • Participate in retention-related projects, programs, and communication efforts as they are developed.
  • Bring forward ideas and recommendations that may improve employee engagement, connection, and retention.
  • Take on additional ownership of retention initiatives as Annandale’s approach and priorities continue to evolve.
  • Partner closely with the Director of Talent and Strategy to align on hiring priorities, timelines, and recruiting needs.
  • Ensure recruiting and hiring activities follow Annandale policies, established processes, and applicable requirements.
  • Communicate recruiting trends, candidate feedback, barriers, and opportunities to the Director of Talent and Strategy.
  • Contribute ideas and recommendations that strengthen Recruiting and the broader Talent function.
  • Remain flexible as recruiting processes and responsibilities evolve, taking on new areas of ownership that support the goals of the Talent function and Annandale’s Strategic Plan.
