About The Position

Pivotal Health is the leading technology platform that helps healthcare providers get paid fairly in an increasingly complex reimbursement landscape. Today, many providers face persistent underpayment from health insurance companies, despite delivering high-quality care. While processes like IDR (Independent Dispute Resolution) were designed to promote fairness, they’re often administrative-heavy, time-consuming, and difficult to navigate without the right tools. Pivotal Health combines software, data, and service into a seamlessly integrated, AI-driven platform that simplifies these complex reimbursement workflows. We help providers efficiently dispute underpaid claims, reduce administrative burden, and recover the reimbursement they’re entitled to; without adding more work to already stretched teams. Our full-service IDR solution is just the starting point. We’re building solutions that enable providers to operate with clarity, control, and confidence across the reimbursement journey. This is a foundational hire for our Talent team. You’ll own the operational backbone of recruiting at Pivotal; scheduling, candidate experience, ATS management, and the systems that make everything run. This is not a purely administrative role. You’ll be a thought partner in how we build and scale recruiting, not just someone who keeps the current process moving. We’re looking for someone who is sharp, organized, and takes real pride in running a tight process. Someone who notices when things feel off, fixes them, and makes the system better. If you’ve been in a coordinator role and keep finding yourself pulled into process design, tooling, or candidate conversations, this is a role where that instinct will be rewarded.

Requirements

  • 2–4 years in recruiting coordination, recruiting ops, or similar role in a fast-paced environment
  • Hands-on experience with an ATS (Ashby is a plus; Greenhouse, Lever, etc. all translate)
  • Highly organized with strong attention to detail; you don’t drop balls
  • Clear, professional communicator who can represent Pivotal with candidates and internal stakeholders
  • Comfortable in ambiguity and excited to build systems that don’t exist yet
  • Data-literate; you can pull reports, spot inconsistencies, and ask the right questions
  • Interest in growing into a broader recruiting or TA role over time

  • Experience at a high-growth or early-stage company
  • Familiarity with Rippling or similar HRIS tools
  • Exposure to healthcare or health tech
  • You have strong opinions on what great candidate experience looks like, and can explain why

Responsibilities

  • Own scheduling and candidate experience: Run end-to-end interview scheduling across all roles, including complex multi-stage loops.
  • Act as the front line of the candidate experience; clear, responsive, and thoughtful at every step, while ensuring hiring teams are prepared and aligned.
  • Own the ATS and data integrity: Serve as the day-to-day owner of Ashby, keeping pipelines clean, stages accurate, and data reliable. Build reporting that gives visibility into pipeline health, time to fill, and sourcing performance, and continuously improve how we use the system.
  • Build process and recruiting infrastructure: Partner with the VP of People and Director of Talent to document, standardize, and evolve how we recruit. Own interview plans, templates, and Notion documentation so the team operates consistently and efficiently.
  • Improve systems and tooling: Identify gaps in our workflows and help implement better solutions, including standing up and integrating tools like Rippling, background checks, and assessment platforms as we scale.
  • Act as the connective tissue: Keep hiring managers, interviewers, and candidates aligned throughout the process, proactively flagging issues before they become problems and ensuring nothing slips.
  • Support closing and onboarding: Assist with offer logistics, background checks, and pre-boarding coordination to ensure a smooth transition from candidate to employee.
  • Shape how we show up to candidates: Contribute to candidate-facing materials, communication, and overall experience as we continue to invest in how we recruit and close talent.
