We're seeking a dynamic, highly organized Coordinator to play a crucial role in providing high-level administrative and operational support to senior leaders in a fast-paced, dynamic environment. This role requires exceptional organization, discretion, and the ability to manage competing priorities with professionalism and poise. The ideal candidate is proactive, detail-oriented, and comfortable working with cross-functional teams and external partners. This is a temporary assignment and follows a hybrid work model and will be onsite in our Pawtucket, RI office on Tuesdays, Wednesdays, and Thursdays.

Requirements

  • 1–3 years of administrative, coordinator, or executive support experience, preferably supporting senior or C-level executives.
  • Proven ability to manage multiple priorities in a fast-paced, high-demand environment.
  • Strong proficiency in Microsoft Office Suite, experience with expense and procurement systems preferred.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Strong attention to detail, follow-through, and problem-solving skills.

Responsibilities

  • Manage complex calendars, coordinate meetings across multiple time zones, and handle scheduling changes with efficiency.
  • Arrange domestic and international travel, including detailed itineraries, transportation, lodging, and expense reconciliation.
  • Create and process purchase orders (POs), track budgets or expenses, and ensure accurate and timely approvals.
  • Prepare meeting materials, presentations, and agendas; manage logistics for team meetings, offsites, and events.
  • Support special projects and confidential initiatives as requested by senior leaders.
