About The Position

Malone is actively recruiting a detail-oriented Recruiting Assistant to join our team. If you are passionate about customer service, working with clients and employees, and building strong relationships we would love to hear from you. The Recruiting Assistant is primarily responsible for moving candidates through the hiring and onboarding process. This includes communication across various channels, prescreening candidates, scheduling interviews, and assisting with onboarding activities.

Requirements

  • Excellent rapport/relationship building skills
  • Previous customer service, recruiting, staffing, call center, administrative, or similar experience preferred.
  • Comfortable making frequent outbound phone calls and speaking with candidates throughout the day.
  • Excellent follow-up and organizational skills.
  • Ability to manage multiple candidates and tasks simultaneously.
  • Strong attention to detail and accuracy.
  • Basic computer skills and ability to learn applicant tracking and other recruiting systems.

Responsibilities

  • Contact applicants by phone, text, and email to discuss available opportunities and determine their interest and availability.
  • Conduct initial candidate prescreens to gather information regarding work history, skills, availability, pay expectations, transportation, and other job requirements.
  • Explain job opportunities, schedules, pay rates, job requirements, and next steps to candidates.
  • Identify qualified candidates and move them forward in the recruiting process.
  • Schedule candidate interviews, orientations, and appointments with recruiters and clients as needed.
  • Follow up with candidates throughout the recruiting and hiring process to keep them engaged and informed.
  • Assist candidates with completing applications, required forms, and onboarding documentation.
  • Support the onboarding process by helping candidates complete required steps, including background checks, drug screens, employment documents, and other client-specific requirements.
  • Monitor candidate progress and follow up on outstanding onboarding requirements.
  • Maintain accurate and timely candidate information and activity in the applicant tracking system.
  • Respond to candidate questions and provide information regarding the hiring and onboarding process.
  • Work closely with recruiters and branch teams to ensure candidates move efficiently through the recruiting funnel.
  • Assist with sourcing and recruiting activities as needed, including contacting previous applicants and candidates in the company's database.
  • Help maintain a strong candidate pipeline for current and anticipated openings.
  • Identify potential issues or barriers that may prevent a candidate from successfully completing the hiring process and escalate them appropriately.
