About The Position

The Recreation Services Administrative Coordinator oversees the administrative functions of the Sugarbush Ski & Ride School, with key responsibilities in frontline sales and reservations. This role includes managing Ski & Ride School payroll, selling and scheduling lesson programs, and promoting other resort products such as lift tickets and rentals. Additional duties include providing administrative support to the Rental & Repair Shop, Summer Operations, and Day School. This is a full-time seasonal salary position with a pay range of $1760-$1920 every 2-week pay period with compensation based on experience.

Requirements

  • High school diploma or equivalent required; college education preferred.
  • Proficient in Microsoft Office applications, particularly Word and Excel; experience with RTP, reservation systems, and point-of-sale systems preferred.
  • Previous experience in guest service, hospitality, resort operations, recreation services, or educational programs required; Ski & Ride School experience preferred.
  • Strong organizational, administrative, and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills and a commitment to providing exceptional guest service.
  • Knowledge of resort operations, reservations, payroll, and point-of-sale systems preferred; ability to quickly learn new systems required.
  • Detail-oriented with the ability to maintain accurate records, reports, and administrative documentation.
  • Regular weekend and holiday work is required, with extended hours and additional workdays during peak operating periods.
  • This position requires the ability to work both indoors and outdoors and to move between various resort locations throughout the day.
  • The successful candidate must communicate professionally and effectively with guests and employees and be capable of working efficiently in a fast-paced environment with frequent interruptions, changing priorities, and varying operational demands.

Responsibilities

  • Manage Ski & Ride School payroll, conducting daily and weekly audits to ensure accuracy and compliance.
  • Operate Ski & Ride School point-of-sale and reservation systems while providing guest support through phone, email, and in-person interactions as business needs require.
  • Assist the Director of Recreation Services in planning, organizing, and delivering exceptional guest service to meet both expected and unexpected demand.
  • Support sales efforts through direct guest interactions, reservations, and program bookings via phone, email, and in-person communication.
  • Resolve guest concerns promptly and professionally using sound judgment, problem-solving skills, and effective communication.
  • Partner with the Marketing team to maintain accurate Ski & Ride School information across the website and other resort communications.
  • Support Ski & Ride School Supervisors with employee onboarding and offboarding processes, ensuring completion of required training, documentation, and employment records.
  • Provide administrative support to the Ski & Ride School Director, Supervisors, Day School, and Rental & Repair operations as directed by the Director of Recreation Services.
  • Assist with budgeting, financial reporting, and other departmental financial responsibilities.
  • Maintain accurate records, reports, and documentation to support efficient departmental operations and informed decision-making.
  • Assist with departmental projects, reports, initiatives, and other administrative assignments as directed by the Director of Recreation Services.
  • Collaborate with the Director of Recreation Services to develop, enhance, and streamline programs, products, and operational processes.
  • Support the coordination and booking of seasonal programs, school groups, special events, and other recreational activities.
  • Communicate regularly with managers and supervisors regarding staffing needs, scheduling, reservations, and operational requirements.
  • Provide operational support within the Day School and Rental & Repair Shop as business needs require.
  • Coordinate with various departments, including Season Pass, Tickets, Vacation Sales, Food & Beverage, Ski Patrol, Mountain Operations, Marketing, Events, and other resort teams.
  • Promote and support Sugarbush Vision, Values, and Safety standards in all aspects of daily operations.
