About The Position

The Community Corrections Department has an immediate opening for a Records Technician. This role is essential to supporting our operations by ensuring the accurate and timely entry of critical information, including data from court orders, pre‑sentence investigations, police reports, treatment and counseling updates, DNA records, and various other criminal justice documents. The primary responsibility of this position is to maintain precise and reliable data within the Court Services Tracking System (CSTS) database, contributing to the integrity and effectiveness of our department’s work. This is a full-time, non-exempt, on-site position.

Requirements

  • High school diploma or equivalent education.
  • Must successfully pass a criminal background check, including fingerprinting.
  • Able to complete and pass security awareness training to obtain Bureau of Criminal Apprehension (BCA) and/or Criminal Justice Information Services certification within six months of hire.

Nice To Haves

  • Associate degree or higher in business, human services, administration, or closely related field.
  • Two years (2,080 annual hours) or more of job-related data entry experience.
  • Job-related experience in a correctional agency.
  • Strong verbal and written communication skills.

Responsibilities

  • Update and maintain the Corrections database CSTS by performing data entry of all pertinent information and court documents.
  • Utilize OnBase to enter data from data entry workflows, including high, low, and notifications.
  • Create and maintain daily, weekly, and month-end reports to support the department needs for day-to-day operations.
  • Collect and verify confidential information to confirm identity of offenders.
  • Update existing client records from various court documents such as: warrants, modification orders, violations, summons, computer information forms (CIFs), court data sheets, discharges, etc.
  • Access various websites to search for specific information on outcomes of cases, conditions of probation, and court orders.
  • Communicate with Probation Officers on any clarification of client, case, and document information including data entry into the Corrections database CSTS, indexing of documents, and managing / processing workflows.
  • Conduct record checks through the BCA, driver’s licenses checks, Minnesota court information system (MGA), jail and corrections databases.
  • Draft and maintain instructions, and other documentation, around data entry processes and procedures specific to Anoka County Community Corrections.
  • Scan and index documents into the electronic document management system OnBase.
  • Utilize and interpret information from various documents and computer programs.
  • Participate in the rotations of duties for four areas including data entry, indexing & workflows, and bails.
  • Conduct record checks through the BCA, driver’s licenses checks, Minnesota court information system (MNCIS), jail and corrections databases.
  • Review and ensure accuracy of court orders, booking lists and computer records.
  • Complete adult corrections data entry duties as needed.
  • Complete all BCA certifications and security awareness trainings, in addition to mandatory department and county trainings.
