The Records Technician, Student Intern will assist in setting up, operating, and maintaining systems for the collection, classification, retrieval, and retention of records, images, documents, and information. They will also be involved in the development, approval, and tracking of policy obligations. This includes the migration of documents, assignment of relevant metadata, development of relevant workflows, and administration of access permissions.

Requirements

  • Working towards degree in Information Management or related discipline.
  • Understanding of foundational records management principles
  • Experience organizing, sorting, and retrieving records
  • Proficient in common workplace applications with emphasis on Microsoft products, including SharePoint
  • Ability to manage confidential information in a discrete and secure manner
  • Administrative and clerical training and experience.
  • Solid written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Ability to work independently or as part of a team
  • Ability to operate the appropriate hardware (e.g., computer and scanner). digitization software.
  • Aptitude for learning and administering technology solutions (e.g., digitization software, SharePoint, Policy Management System)

Responsibilities

  • Digitizing records using the appropriate software or technology.
  • Classifying, coding, processing, storing, retrieving, and preserving or destroying records in accordance with the application Retention Schedule.
  • Labeling, preparing and transferring information files according to established records management life-cycle procedures and schedules
  • Extracting contracts from inactive project sites and move to inactive storage
  • Setting up new records storage repositories.
  • Setting up application workflows.
  • Other administrative duties, as required.
