About The Position

We are seeking a Records Team Lead to join our team, working collaboratively to support the Records Management program in ensuring the efficient organization, security, and accessibility of records. Under the direction of the Records Manager, the Records Team Lead will oversee daily operations of the Records Program, including work planning, task assignments, and supporting staff to achieve program objectives. This role involves assisting in the development and implementation of records systems, updating policies and retention schedules, and ensuring adherence to best practices in information management. The Team Lead will foster collaboration among team members, maintain confidentiality, and promote effective communication with internal and external stakeholders, aligning all actions with Seabird Island’s mission and values. This is a term contract with an end date in September 2027 with the possibility of extension.

Requirements

  • Records / Information Management certification, CRM designation or a related certification is required.
  • Minimum five years of records and information management experience.
  • Minimum five years’ experience administering Records and Information Management-related projects.
  • Extensive experience and knowledge of records and information management principles, practices, and methodologies.
  • Must be proactive and well-organized, with the ability to prioritize and meet deadlines.
  • Strong initiative and leadership qualities.
  • Attention to detail, prioritize and complete tasks in a timely manner with minimal supervision, solid problem solving, and advanced analytical skills.
  • Must be able to perform physical tasks such as standing for long periods of time and lifting boxes up to 40lbs.
  • Ability to work independently and work well with others as part of a team.
  • Deep understanding of Indigenous cultures, traditions, and contemporary issues.
  • Experience working within Indigenous communities and applying culturally safe practices.
  • Understanding of intergenerational trauma and its impacts on Indigenous peoples and communities.
  • Must possess a valid class 5 driver's license and have access to safe and reliable transportation, insured for community-based use, to effectively attend events, trainings, workshops, etc. at other locations.

Responsibilities

  • Provide overall supervision to the Records program, including supervision of work planning, scheduling, and assessment of staffing needs.
  • Promoting shared team goals and collaboration among members.
  • Prepare and assist in the preparation of reports and recommendations for the Manager and stakeholders.
  • Make presentations and provide advice/guidance on the Records Program.
  • Initiate actions required by the Manager and coordinate and monitor assigned tasks emerging from meetings as directed by the Manager.
  • Help develop Records Management system specifications by using best practices, assessing business needs, and clearly documenting requirements.
  • Lead, direct and assign Records Management staff daily work activities.
  • Help design information management systems by translating information processes into functional requirements.
  • Support and assist others in the use of technology to accomplish tasks that support Records Management program objectives.
  • Review, discuss with Manager and update Records Management Policy and Procedures Manual and Records Retention Schedule.
  • Maintains strictest confidentiality.
