About The Position

Lowe Law Group is looking for a highly organized, persistent, and detail-oriented Records Specialist to join our team. Our Records Specialists play an important role in moving our clients' cases forward by obtaining the documentation our legal teams need — including medical records, medical bills, police reports, and other case-related records. This is an entry-level opportunity, and previous legal experience is not required. We will train the right person. What matters most to us is that you are dependable, organized, comfortable communicating with others, and willing to keep working on something until it's done. For this role, sending the request is only the beginning. Success means getting the records.

Requirements

  • High school diploma or equivalent.
  • Strong organizational and communication skills.
  • Excellent attention to detail.
  • Basic computer proficiency and the ability to learn new systems.
  • Ability to handle confidential information appropriately.
  • Ability to manage multiple priorities and follow tasks through to completion.

Nice To Haves

  • Experience in a law firm, medical office, healthcare setting, insurance environment, records department, or administrative support role.
  • Experience working with medical records or billing.
  • Familiarity with HIPAA or handling protected health information.
  • Experience using case management or document management software.

Responsibilities

  • Request medical records, medical bills, police reports, and other case-related documentation.
  • Communicate with healthcare providers, law enforcement agencies, records departments, government entities, and third-party records services.
  • Track outstanding requests and follow up consistently until the requested records are received.
  • Research and troubleshoot requests when the correct agency, provider, process, or contact isn't immediately clear.
  • Identify missing or incomplete records and take the necessary steps to resolve the issue.
  • Receive, review, organize, and process incoming records and documentation.
  • Maintain accurate request statuses and notes within our case management system.
  • Work closely with Case Managers and other members of our legal team to make sure they have the records they need.
  • Prioritize requests based on case needs and deadlines.
  • Protect confidential client, medical, and case information.
