About The Position

Fort Bend County is seeking a Records Specialist for the Sheriff's Office. This role involves inputting and transferring reports into a computer database, preparing records for scanning and archiving, and assisting the public and law enforcement personnel. The position also handles incoming mail, fax, and NCIC/TCIC inquiries, maintains filing systems for official records, manages a cash fund, prepares TLETS validations and computer merges, and fulfills information requests for subpoenas and open records. The Records Specialist will also participate in emergency management activities during a local state of disaster as directed.

Requirements

  • U.S. Citizen or U.S. Permanent Resident
  • High School Diploma/GED
  • Six months job related experience
  • Good computer and typing skills.
  • Working knowledge of database software.
  • Good verbal and written communication skills along with bookkeeping and organizational skills.
  • Good interpersonal skills and the ability to deal effectively with the public, other employees, and elected officials.
  • Ability to prioritize own work.
  • TCIC/NCIC Less than Full Access within first year of employment.
  • Valid Texas Driver's License
  • Must schedule and pass the required Nelson-Denny (Reading Comprehension and Vocabulary) Test prior to moving forward in the hiring process.
  • Must contact the Sheriff’s Office Human Resources to schedule the test before proceeding.

Responsibilities

  • Inputs and transfers reports and supplements into computer database.
  • Prepares records for scanning and archiving.
  • Assists and responds to public and other law enforcement personnel at lobby window or by telephone and/or directs to appropriate person.
  • Answers incoming mail, fax and NCIC/TCIC for inquiries on reports and background checks.
  • Files and maintains filing system for all official accident, case and jail records for the department; Maintains security for all records.
  • Maintains cash fund and prepares weekly cash deposits.
  • Prepares TLETS validations.
  • Prepares computer merges.
  • Prepares information requested in subpoenas for court appearances and information requested in Open Records Request.
  • Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.
