About The Position

Join American Retrieval as a Records Retrieval Specialist II and play a key role in ensuring our clients receive fast, accurate, and professional support throughout the records retrieval process.

Requirements

  • High School Diploma or equivalent required.
  • 3 to 5 years of customer service, account management, or client support experience.
  • Strong analytical and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Highly organized with the ability to prioritize multiple tasks and deadlines.
  • Proficient in Microsoft Office Suite and database management systems.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to occasionally lift up to 10 pounds.
  • Ability to sit, review detailed documents, and work at a computer for extended periods.

Nice To Haves

  • Associate degree preferred.
  • Experience in legal records retrieval, medical records retrieval, healthcare administration, or related industries preferred.

Responsibilities

  • Proactively contact record custodians, healthcare facilities, and other record sources to expedite document retrieval.
  • Monitor requests to ensure timely completion and follow up as needed.
  • Build and maintain strong, professional relationships with clients and facility personnel.
  • Provide exceptional customer service and ensure a positive experience throughout the retrieval process.
  • Accurately enter, update, and track record requests in internal systems.
  • Maintain current and accurate client and facility information within databases.
  • Provide regular updates regarding order status and retrieval progress.
  • Address client inquiries, concerns, and service-related issues in a timely and professional manner.
  • Assist with special projects and departmental initiatives as assigned.
  • Follow all company policies, procedures, safety guidelines, and quality standards.
