About The Position

Glenmont Job Corps Center is seeking a dependable professional to join their Student Records team. This role is crucial for managing student information from enrollment to completion, ensuring accuracy, confidentiality, and timely processing of details such as attendance, pay, leave, travel, schedules, and graduation or separation. The position combines aspects of a records specialist, administrative professional, student support resource, and backup team leader. The Records Officer will maintain and review student information, prepare reports, assist students with inquiries, collaborate with other departments, and ensure all required documentation is correctly completed. Accuracy is paramount as this information impacts various aspects of a student's experience.

Requirements

  • High School Diploma or equivalent required.
  • Computer literacy and proficiency in spreadsheet and word processing applications required.

Nice To Haves

  • Degree or certification from an accredited or relevant certified training program or school preferred.
  • Supervisory experience in records keeping, administrative support and electronic records preferred.
  • Experience in records management, administrative support, education, student services, data entry, compliance, office management, or similar work.

Responsibilities

  • Maintain student records from enrollment through program completion or separation, ensuring accuracy and completeness.
  • Review records for accuracy, update student information, and maintain student schedules and documentation.
  • Identify and resolve missing or incorrect information in student records.
  • Ensure required documents are properly completed and prepare student records for different program stages.
  • Utilize Job Corps recordkeeping and database systems to enter and maintain student information accurately.
  • Track information related to enrollment, student records, schedules, pay, allotments, leave, travel, and required reports.
  • Prepare and submit required reports accurately and on time.
  • Assist students with questions regarding their pay, allowances, leave, travel, and program information.
  • Maintain the confidentiality of sensitive student, employee, and operational information.
  • Review and audit student records for accuracy, completeness, and compliance with Job Corps requirements before finalization.
  • Assist in preparing documentation for audits and required reporting.
  • Train Records Clerks and other employees on recordkeeping procedures, documentation requirements, and Job Corps systems.
  • Oversee the Student Records team in the absence of the Student Records Manager, including prioritizing tasks, answering procedural questions, and providing guidance.
  • Collaborate with departments across the Center to ensure accurate student information and smooth service delivery.
  • Identify missing information, explain requirements, resolve discrepancies, and follow up with other departments.
