About The Position

The Wyoming Department of Corrections (WDOC) is seeking an Office Support Specialist I for its Records department at the Wyoming State Penitentiary. This entry-level position offers vital support through data entry and file management. The ideal candidate will be detail-oriented, capable of multitasking, working independently with minimal supervision, and communicating clearly. Required skills include exceptional data entry accuracy, a strong working knowledge of spreadsheets and customized software, basic math skills, and a commitment to organization. The successful candidate must obtain certification for the NCIC and Sex Offender registration systems from the Department of Criminal Investigation.

Requirements

  • Associate's Degree (typically in Business)
  • 0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
  • Exceptional data entry accuracy
  • Strong working knowledge of spreadsheets and customized software

Responsibilities

  • Acts as a specialist in the assigned program area, performing the most complex technical duties, including legal secretary responsibilities.
  • Resolves problems and makes recommendations for improvements.
  • Conducts research, troubleshoots office systems or procedures for efficiency and accuracy; collects, organizes, and details writing the required documentation in answering queries.
  • Coordinates and/or acts as a liaison between the agency or work unit and other agencies or departments.
  • Maintains financial or other records; verifies statistical reports for accuracy and completeness and publishes statistical reports.
  • Accurately maintains agency files and records; inputs data into databases.
  • Prepares reports; verifies computer systems, databases, and coded data for accuracy.
  • Responds verbally and/or in writing to requests for information.
  • Screens and corrects documents for procedural compliance; evaluates the information for accuracy.
  • Provides customer service to customers, clients, staff, and inmates; acts as a resource and explains rules and procedures to co-workers, customers, and/or inmates.
  • Responsible for inventory assets.
  • Performs administrative duties requiring considerable judgment.
  • Resolves some light computer issues/concerns.
  • Refers customers to appropriate supportive service agencies.
  • Tracks information.
  • Maintains and reviews case files to determine actions to be taken.
  • Evaluates information for accuracy.
  • Must be able to maintain thousands of base files and their accuracy.
  • Assists in ordering and maintaining Social Security cards, birth certificates, and state ID.
  • Examine, reconcile and verify inmate count sheets; store data electronically and create reports.
  • Provide support to Records Manager and Records Clerks.
