About The Position

Under the general supervision of the County Clerk and the direct supervision of the Chief Deputy County Clerk, responsible for the management, preservation, public access, security, development, implementation, training and supervision of all records & research activities within the office of the County Clerk. This role involves administering and supervising staff in public records and research, planning, analyzing, and recommending courses of action, working with procurement staff on budgets and contracts, and performing administrative functions across various divisions of the County Clerk's Office. The position also requires training staff and the public.

Requirements

  • Experience with provisions of New Mexico statutes and codes as they relate to the management of public records.
  • General knowledge of public administration, business administration, budgets and accounting.
  • Strong customer service skills.
  • Ability to work under stressful circumstances in dealing with the public and subordinates.
  • Communication skills in both verbal and written are necessary.
  • Ability to work independently or with others, maintaining a professional attitude with the public, co-workers and County officials.
  • Knowledge of office procedures and equipment including basic office machinery and word processing programs.
  • High school diploma or equivalent and six (6) years of experience in records and research management.
  • Two (2) years of supervisory experience or the NM Edge Certified Public Supervisor certification is required.
  • Possess and maintain a valid New Mexico Class D Driver’s License.

Nice To Haves

  • Experience requirements may be substituted for relevant education at a rate of 30 credit hours equal to one (1) year of experience.

Responsibilities

  • Administers and supervises staff working in the areas of public records and research in the Clerk’s office.
  • Monitors the performance of subordinates, provides training, recommends hires, generates performance evaluations, and initiates disciplinary action.
  • Supervises the timely and accurate dissemination of information regarding public records and research.
  • Plans, analyzes, and recommends courses of action to management.
  • Works with procurement staff in budget and contracts as it relates to public records and research.
  • Promptly responds to telephone and written communications.
  • Performs administrative functions and tasks throughout the County Clerk’s Office to include the Bureau of Elections Division and Recording Division.
  • Trains staff and the public.
  • Cross training and other duties may be assigned in BOE, Recording, and Records & Research.
