About The Position

Under the direction of management, this position performs a variety of operations relating to the administrative functions and statutory responsibilities for the Clerk of the Circuit Court and Comptroller. This position requires the incumbent to communicate with co-workers, management, judges, elected officials, and the public in a courteous and professional manner.

Requirements

  • Minimum of a high school diploma or equivalency diploma
  • Knowledge of the functions and organization of the Clerk of Circuit Court and Comptroller office and of other county divisions, municipalities, and public agencies
  • Knowledge of business English, including spelling, grammar, and punctuation
  • Proficiency in Microsoft Office programs
  • Ability to work with a computer in a Windows environment
  • Ability to utilize scanning equipment
  • Ability to answer phones using standard office procedures
  • Ability to effectively communicate both orally and in writing
  • Ability to make sound independent judgments
  • Ability to effectively follow written and oral instructions
  • Ability to meet deadlines
  • Ability to communicate serious problems and important issues to management
  • Ability to thrive in a fast-paced environment where attention to detail and accuracy are of critical importance

Nice To Haves

  • A two-year or four-year degree from an accredited school is desirable
  • Special consideration will be given to applicants who are fluent in a secondary language

Responsibilities

  • Provide coverage for the information desk and online chat service
  • Greet customers and direct them to the proper division
  • Take messages for employees from customers when the employee is unavailable
  • Answer phone calls and direct them to the proper division
  • Assist with daily mail processes
  • Assist with public and court record requests
  • Process redactions in the court redaction program
  • Assist with the court records management and retention processes
  • Scan court documents to the corresponding case file and docket entry
  • Review images for legibility
  • Notify management of critical problems or issues relating to the department
  • Offer support with jury duty services as required
  • Perform other administrative office tasks as assigned
  • Maintain compliance with Rule 2.420, Public Access to and Protection of Judicial Branch Records as outlined in the Florida Rules of General Practice and Judicial Administration
  • Maintain compliance with Chapter 119, Florida Statutes and other statutory provisions
  • Maintain current knowledge of best practices, court rules, statutes, administrative code, regulatory, and legislative developments to ensure proper application to division practices
