About The Position

Jamison Professional Services, Inc. (“Jamison”) is currently seeking a qualified and motivated candidate for the position of Records Clerk. This is a temporary administrative support role for OFS’s Intake Service Branch, with a performance period of 6 months, potentially extending for another 6 months. The Intake Service Branch handles a significant volume of mail, new appeals, and decisions monthly. The contractor personnel will perform a full range of administrative support duties for OFS.

Requirements

  • High School education or GED equivalent.
  • Oral and written proficiency with English.
  • Knowledge of Computer software such as Microsoft Word, Excel, Outlook, and Microsoft Office Suite.
  • Knowledgeable in the operation of office equipment (computers, copiers, fax machines, labelers, etc.) to scan, file and/or store both electronic and paper documents for future reference.
  • Excellent clerical and customer service skills.
  • Minimum of three (3) years of experience providing administrative support as an EEO records clerk for a federal agency.
  • As part of the three years of experience, possess a minimum of three years of experience, including a solid understanding of the principles of EEO complaint documentation and EEO record-keeping materials.
  • Working knowledge acquired through practical experience gained in roles like an administrative support specialist or records clerk within a federal agency that handles EEO-related materials.
  • Familiarity with key EEO processes, terminology, and documentation requirements, ensuring the ability to accurately manage, organize, and reference EEO records in compliance with federal regulations.

Responsibilities

  • Receive and open approximately 1,500 incoming correspondences monthly, date-stamp each envelope, photocopy the envelope, and associate the photocopy with the contents.
  • Prepare documents for scanning by removing staples, paperclips, and repairing torn pages.
  • Operate high-speed scanners.
  • Review documents and identify the appropriate scanning location.
  • Perform quality control on scanned documents to ensure readability and clarity.
  • File hardcopy documents into the appropriate EEO appellate file jackets stored in numerical order.
  • Mail approximately 1,000 new appeal acknowledgement letters monthly.
  • Process approximately 400 to 600 OFS decisions monthly by retrieving the final version from a digital folder, printing the signed/dated decision, converting it to Adobe PDF, deleting and extracting specific parts of the PDF, and saving components per office requirements. Make sufficient copies for mailing.
  • Assist in preparing and boxing "closed" appellate file jackets for transfer to the Federal Records Center.
