About The Position

Under the supervision of the Administrative Services Captain, this role rotates through various assignments including typing, complaint processing, and accident processing. The Records Clerk is responsible for typing complaint reports, entering information from complaints and accident reports into the computer, and transcribing taped confessions, statements, and interviews. This position may also serve as the Eaton County Sheriff's Office LEIN Tac and provides information and assistance to the public. The position can be located at either the main office in Charlotte or the Delta Township Sheriff Substation, depending on staffing needs. Starting pay is based on relevant experience. Requirements

  • High school graduate or equivalent.
  • Accurate typist with high typing proficiency.
  • 1 year prior clerical experience that includes data entry experience.

Responsibilities

  • Types all case reports and supplemental information.
  • Distributes and secures signatures for reports to be forwarded to the Prosecutor.
  • Enters arrest information into the computer for Michigan Incident Crime Report.
  • Reviews and codes all information for Michigan Incident Crime Reporting.
  • Transcribes taped evidence such as confessions, statements, and interviews for Detectives.
  • Types reports for Detectives involving all types of criminal activity.
  • Reviews print-outs of cases, ensures typing accuracy, reviews cases for pertinent information, and summarizes action to date on cases.
  • Copies and distributes reports to necessary Departments.
  • Enters and updates computer data for the Michigan Incident Crime Reporting System.
  • Enters information from all cases into the computer for the Michigan Incident Crime Report.
  • Enters stolen items into the computer, including details like serial or model numbers, value, and description.
  • Logs all traffic crash reports and replicates them for the State of Michigan and other agencies.
  • Prepares and ensures the completeness of case files.
  • Enters information from all traffic crash reports into the computer, including driver/passenger/witness identification, location, alcohol tests, and vehicle information.
  • Files traffic crash reports and cases numerically, and files supplements, warrant requests, lab reports, dispositions, and other documents.
  • Tracks, sorts, and files tickets.
  • Processes insurance requests received via mail, ensuring appropriate fees are included, logging, copying, and posting information.
  • Processes forms for gun State purchase permits and receipts purchase permit fees.
  • Assists individuals with obtaining fingerprints and processing CCW permits.
  • Utilizes automated pistol registration system and inspects guns prior to registration.
  • Provides counter and telephone assistance to attorneys, insurance representatives, and the public.
  • Prepares a statement of account for all reproductions.
  • Locates and retrieves incident reports, crash reports, and tickets for Deputies for court purposes.
  • Enters data on breathalyzer test reports to the Secretary of State and other local Departments for driving records.
  • Updates test reports when lab results are returned for cases originally reported as refusal to take a test.
  • Assists in compiling daily statistical reports on sworn law enforcement staff and monthly statistical reports.
  • Assists the Detective Bureau by entering pawn slips mailed to the Department.
  • Assists in compiling statistics and maintaining records of traffic and accident logs.
  • Assists in checking for errors in computer entry by running error logs.
  • In the absence of the supervisor, or to assist the supervisor, performs additional functions such as recording incoming cases in an accounts payable ledger and balancing the till daily, preparing applicants for the Gun Board by reviewing applications, and assisting in training new Records personnel.
  • Maintains photo files for all case and traffic crash files.
  • Processes incoming mail for distribution and prepares outgoing mail.
  • Ensures compliance with LEIN (Law Enforcement Information Network) requirements, including verifying warrants with Eaton County Central Dispatch and Courts.
