About The Position

GENERAL PURPOSE AND SCOPE OF POSITION: The Records Clerk provides data entry of course sections in the student information system (SIS) each semester and provides supportive services within the Registrar’s Office. There may be times when duties performed will be of a confidential nature, thus the utmost confidentiality will be required. MAJOR RESPONSIBILITIES: Provides detailed and accurate data entry of course section details into the SIS, using master course schedule spreadsheet and course section building guidelines. Updates course sections as necessary. Schedules rooms for courses and maintains master room information. Communicates with other departments regarding room scheduling needs. Maintains continual and open communication with program chairs on any discrepancies, issues, or missing information necessary to complete the course section entry. Maintains master course schedule spreadsheet. Issues official and unofficial student transcripts for walk-ins and mailed requests. Verifies indexed documents in the Banner Document Management System. May also scan and index documents as required. Assists with annual Grad Fair and Commencement. Performs other duties as assigned based on the needs of the department. Conducts all responsibilities within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards. QUALIFICATIONS: High school graduate required; post-secondary education preferred. Proficient computer skills with accuracy. Knowledge of Excel required; other Microsoft applications preferred. Two years of clerical experience. Strong attention to detail and the ability to follow directions. Ability to work independently and in teams, with ability to keep information confidential. Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies. Ability to think critically, reason, and make sound judgments on how responsibilities are completed in compliance with college standards and guidelines. Requirements
