About The Position

The Village of Buffalo Grove and its administrative services department is seeking a part-time records clerk. The Village of Buffalo Grove is located thirty-three miles northwest of downtown Chicago and twenty miles north of O’Hare International Airport. Neighboring communities include Arlington Heights, Lincolnshire, Long Grove, Riverwoods, Vernon Hills, and Wheeling. Since its incorporation in 1958, Buffalo Grove has grown and developed into a tightly knit, award-winning community. The Village’s current population is 43,212. Under the direct supervision of the Administrative Services Manager, this position will be responsible for organizing and maintaining official records under the Administrative Services Manager’s guidance. This role supports efficient recordkeeping processes, responds to information requests, and upholds data integrity across various platforms. Typical work assignments may encompass a single specialized clerical process or a full range of clerical activities with responsibility and maintenance of records. Work requires the operation of a networked computer with various software programs and other standard office equipment.

Requirements

  • Valid driver's license
  • Graduated from high school
  • Experienced in clerical work related to administrative record keeping
  • Any equivalent combination of training and experience

Nice To Haves

  • Familiarity with Illinois FOIA, Open Meetings Act, and Local Records Act

Responsibilities

  • Maintain, organize, and archive records such as ordinances, resolutions, and meeting minutes.
  • Provide clerical support in digitizing, filing, and organizing documents.
  • Coordinate with the Illinois State Archives for records retention and destruction.
  • Handle Freedom of Information Act (FOIA) requests, including redaction and departmental coordination.
  • Post public notices in compliance with the Illinois Open Meetings Act.
  • Assist with business license tracking, updates, and issuance.
  • Performs related duties as assigned or required.
  • Work also includes responsibility for a variety of clerical, communications, and public contact with customers through in-person, electronic and telephonic interactions.
