About The Position

Records and Information Manager will plan, develop, and implement all filing, retrieval, storage, and destruction systems; document imaging and policy development/documentation of the program. Train and assist other County departments in the development and implementation of their document imaging/records management programs. Prepare work plan and determine required resources for records program. Conduct fiscal impact, cost/benefit, project/program analyses and coordinate implementation of records management programs/projects. Employee supervision includes hire selection, training oversight, performance assessment, coaching, disciplinary, and termination actions.

Requirements

  • Bachelor’s Degree in Public Administration, Business Administration, Information Technology, or related field
  • six (6) years of related work experience in records management, project management, electronic message retention, budgeting, or finance
  • two (2) years in a supervisory role
  • Any equivalent combination related to education and/or experience may be considered for the above requirements.
  • Employee must successfully complete the post-offer employment medical examination and background investigation.
  • Employee must comply with the safety guidelines of the County.
  • Employee must possess and maintain a New Mexico driver’s license.
  • Employee must complete required FEMA training(s) as assigned to position.
  • Employee must complete required Supervisor classes if applicable.

Responsibilities

  • Plan, prioritize, assign, supervise, train and review the work of staff assigned to the Records Program.
  • Identify and project current and future requirements of Countywide and/or departmental records management systems. Coordinate and plan all activities with elected officials and department directors and make recommendations regarding storage solutions.
  • Prepare work plan and determine required resources for records program. Conduct fiscal impact, cost/benefit, project/program analyses and coordinate implementation of records management programs/projects.
  • Coordinate the preparation of proposals, evaluation of proposals and compliance monitoring. Provide technical assistance and serve as County liaison for records management related projects.
  • Prepare and monitor records management budget; monitor and control all expenditures, submit justification and proposals for budget.
  • Analyze, develop and implement policies and procedures related to all centralized records programs including record retention schedules. Train County users on records management policies.
  • Conduct and oversee inventories of all paper and electronic records and documents.
  • Manage the filing, scanning, storage, retrieval, duplication of electronic, and hard copy records.
  • Identify suitable areas for strategic improvement, develop plans to initiate improvements, coordinate implementation of those plans and monitor and report on the results.
  • Serve on committees, task forces, evaluation groups and negotiating teams as assigned. Participate in meetings and represent the company on records related matters.
  • Prepare agenda items, periodic and summary financial reports on all areas of responsibility.
